Job Description

Overall Purpose of the Job

  • To provide office support to the Expro office – ensuring that all administration, coordination and secretarial duties are carried out. Interfacing with all departments and liaising with all personnel at all levels in order to complete these tasks.
  • Providing support to other Managers when necessary, maintaining confidential documentation and ensuring that clients and managers needs are catered for.
Principal Accountabilities
  • Ensures full awareness of and compliance with, the requirements of all relevant company/customer HSE/QC handbooks, HSE/QC procedures and emergency procedures.
  • Actively ensure that his/her own health and safety and the health and safety of all fellow workers or other workers is preserved at all times.
  • Setting own priorities to ensure tasks are completed in order of importance.
  • Receiving of calls, booking of appointments and keeping proper records of transactions for the Expro Accra office.
  • Receiving and directing visitors to appropriate personnel in the corporate office, ensuring that their aim of coming to Expro is achieved.
  • Assist in typing all office documents .i.e. tenders, procedures, studies, safety plans, reports, in accordance with Company guidelines and quality management systems.
  • Preparing outgoing/incoming mail to ensure speedy and effective communication within Company and other companies. Sending mails via courier services or post.
  • Performs routine administrative tasks, photocopying, faxing, filing of documents, updating personnel files, etc.
  • Keeping stock of stationary and other relevant consumables for the office. Occasional market surveys and buying of emergency items.
  • Picking letters from post office, getting the bills paid on request and writing yearly letter of renewal of specimen signatories.
  • Responsible for archiving of closed out Projects.
  • Any other duties as may be required.
Job Context and Main Activities
  • The job holder operates in an ever changing environment in which priorities are constantly changing which demands flexibility in approach and the ability to control and re-prioritise work efficiently.
  • Due to the job holder’s functions, job holder must ensure that assigned tasks are carried out in an effective and timely manner.
  • The job holder will use full range of secretarial abilities, i.e. typing etc.
  • The job holder’s work is often of a highly sensitive/confidential nature, e.g. business strategy, employee information and involves working to deadlines.
  • The job holder tries to relieve her superiors of the paperwork/calls that are for others to handle.
  • The job holder will also follow up requests in a timely manner.
  • Accurate records will be maintained in line with Quality Assurance requirements.
  • The job holder will ensure an effective filing and document control system within the office.
Decision making Authority/Level of Supervision Required
  • Prioritise own routine workload.
  • Make day to day decisions guided by procedures and policies.
Job Challenges
Must lead by example, to provide effective secretarial support to the Expro office and at the same time cope with a range of tasks associated with general office services.

Required Skills or Experience

  • Strong interpersonal skills, winning attitude.
  • High standard of competence in word processing and knowledge of computer.
  • Self Motivation, self starter.
  • Good communication both written and oral is essential.
  • Secretarial and administrative skills required.
  • Minimum of 5 years works experience in a similar capacity dealing with expatriate issues, drivers, cleaners, petty cash, inventory and managing staff events/parties.
  • Knowledge in French ( would be an asset)
  • Should have at least minimum of a HND or 1st Degree
