Job Description

Key Responsibilities:

  1. Procurement Planning and Sourcing:
    • Develop and implement procurement strategies and plans for food and beverage products based on forecasted demand, menu requirements, and budgetary constraints.
    • Identify and evaluate suppliers, vendors, and distributors of food and beverage products, conducting market research and supplier assessments to ensure reliability, quality, and competitiveness.
    • Negotiate contracts, pricing terms, and service level agreements with suppliers to optimize cost savings, quality assurance, and delivery schedules.
    • Maintain relationships with existing suppliers and seek out new sources of supply to diversify procurement options and minimize supply chain risks.
  2. Purchase Order Management:
    • Generate purchase orders for food and beverage products based on approved requisitions, menu specifications, and inventory levels, ensuring accuracy and compliance with procurement policies and procedures.
    • Coordinate with suppliers and internal stakeholders to confirm order details, delivery schedules, and product specifications, and resolve any discrepancies or issues as they arise.
    • Monitor the status of purchase orders, track deliveries, and follow up on outstanding orders to ensure timely receipt of goods and minimize stockouts or overstock situations.
  3. Inventory Control and Management:
    • Establish and maintain inventory control procedures and systems for food and beverage products, including tracking stock levels, monitoring inventory turnover rates, and conducting regular physical counts and reconciliations.
    • Analyze inventory data and usage patterns to forecast demand, identify trends, and optimize inventory levels to meet operational needs while minimizing carrying costs and waste.
    • Implement FIFO (first-in, first-out) and FEFO (first-expiry, first-out) inventory management practices to ensure freshness and quality of perishable items.
    • Coordinate with kitchen staff, bartenders, and banquet managers to manage inventory transfers, stock replenishment, and product substitutions as needed.
  4. Quality Assurance and Compliance:
    • Ensure that food and beverage products purchased meet quality standards, safety regulations, and hygiene requirements, and comply with relevant laws and industry standards.
    • Conduct supplier audits, inspections, and quality checks to verify product quality, authenticity, and compliance with specifications and contractual agreements.
    • Monitor and address any issues related to product quality, packaging, labelling, or expiration dates, taking corrective actions and implementing preventive measures as necessary.
    • Maintain documentation of product certifications, test reports, and quality control records, and ensure compliance with HACCP (Hazard Analysis and Critical Control Points) and other food safety standards.
  5. Cost Control and Financial Analysis:
    • Monitor food and beverage procurement costs, expenses, and variances against budgetary targets, identifying areas for cost reduction, efficiency improvement, and revenue enhancement.
    • Analyze pricing trends, market fluctuations, and supplier performance metrics to identify opportunities for negotiation, volume discounts, and cost savings.
    • Prepare regular reports and analyses on procurement performance, inventory levels, and cost metrics, providing insights and recommendations to management for decision-making and strategic planning.

Required Skills or Experience

Qualifications/Skills:

  • Bachelor's degree in Business Administration, Supply Chain Management, Hospitality Management, or a related field. Certification in procurement or supply chain management is a plus.
  • Minimum of 2-5 years of experience in procurement, supply chain management, or purchasing, preferably in the hospitality or food service industry.
  • Strong knowledge of procurement principles, practices, and techniques, with a focus on food and beverage procurement and inventory management.
  • Demonstrated experience in negotiating contracts, managing supplier relationships, and optimizing procurement processes to achieve cost savings and quality improvements.
  • Proficiency in procurement software, inventory management systems, and Microsoft Office Suite.
  • Excellent communication, negotiation, and interpersonal skills, with the ability to interact effectively with suppliers, internal stakeholders, and cross-functional teams.
  • Strong analytical and problem-solving abilities, with the capacity to analyze data, identify trends, and make data-driven decisions.
  • Attention to detail and accuracy, with the ability to manage multiple priorities, meet deadlines, and adapt to changing business needs.
