Job Description

  • Job title: Volunteer Coordinator
  • Reports to: Country Director Location: Accra, Ghana
  • Employment contract: 2 years Contract renewable
  • Deadline for submission of applications: Friday 28th March 2024 at 5 pm
  • Net Salary: GHS 3,500

Job Summary

  • Plan, direct, and coordinate all project-related functions of Projects Abroad in Ghana.
  • The nature of the position entails frequent, timely and effective communication with volunteers and overseas offices.
  • The main objective of this position is to manage the assigned project area thereby ensuring that volunteers are matched appropriately with placement, activities for volunteers are clearly worked out, and volunteers understand their roles and responsible work at placements fine-tune the structure of work being done by volunteers and ensure project quality.

  • k. The job is busy and can be physically demanding so you should be prepared to work flexible hours and be willing to travel within and outside Ghana when necessary.

Duties and Responsibilities Coordination & Implementation

  • Realize volunteer pickups at the airport
  • Ensure that each new volunteer feels welcome and secure in his/her new environment
  • Organize and facilitate Induction for volunteers
  • Ensure placements are reminded of the volunteer’s arrival
  • Ensure the introduction to the project worthwhileness during the Induction
  • Maintain effective communication with the head office
  • Manage all projects and ensure that they are executed efficiently and effectively
  • Ensure that volunteer issues and concerns are dealt with efficiently
  • Develop and implement new projects for volunteers
  • Strengthen relationships with work placements and projects for future volunteers
  • Organize and provide volunteers with materials according to the placement
  • Coordinate immigration extension where necessary
  • Organize and coordinate language (Twi) lessons for volunteers
  • Facilitate visits to placements and host families for overseas Projects Abroad staff
  • Coordinate partnership events
  • Visit each volunteer weekly and update detailed notes on our online platforms within 24 hours

Administration

  • Develop strategies to ensure that placement activities are worthwhile for volunteers.
  • Assist in recruiting new host families
  • Ensure that accurate and up-to-date information on projects is uploaded on our online platform with pictures
  • Ensure the timetable for each volunteer is completed and filed in the first week of arrival.
  • Frequent monitoring and evaluation of projects to ensure program quality and satisfaction (volunteer and placement)
  • Manage monthly budget for project-related activities
  • Be available 24 hours, including weekends and holidays
  • Conduct regular assessments of each placement to ensure they remain suitable for our volunteers. When necessary, you will be required to create partnerships with new placements in the country.
  • Maintain effective and constructive communication with placement coordinators, sharing your knowledge, success stories and areas for improvement.
  • Alongside the Country Director, you’ll be required to plan and manage the budget of the project every month.
  • Ensure complaints are handled professionally and solved accordingly
  • Any other as assigned to you by the Country Director.

Location: 80% Outdoors - 20% indoors

Environmental Conditions: This position will largely take place outdoor workspaces, in local communities, schools, hospitals and other locations.

Required Skills or Experience

  • Bachelor of Science Degree (B.Sc.) or equivalent in the Social Sciences (Psychology, Social Work, Sociology) or any other related field with at least 3 years of experience
  • Bachelor of Science Degree (B.Sc.) or equivalent in Community Development, Cultural Affairs, Social Development or any other related field with at least 3-year experience

Knowledge

  • Ability to formulate and implement operational plans.
  • Proven ability to plan and execute projects for a culturally diverse group as well as community interventions and partnership building among stakeholders at all levels
  • Experience in project development and management. Social Work or Public Health is a plus
  • Proficient in the use of MS Office and Internet-based platforms
