Job Description

Our client, a growing NGO, is currently seeking a PA to the CEO to join its team. The incumbent should be a highly-capable and proactive individual with a track record of delivering an exceptional level of service to manage projects and people. This position is based in Accra, Ghana.

Responsibilities include:

  • To provide an efficient and responsive administrative, organizational, and logistical service to the CEO, helping to manage and prioritize her time, as well as handling matters on her behalf.
  • Ability to effectively plan and organize workload and take the initiative to resolve issues quickly in an appropriate manner.
  • Responsible for providing an excellent level of PA support to a charismatic CEO who has high yet fair expectations
  • Must have a forward-thinking approach and plenty of initiative to ensure that you are one-step ahead and that your boss’s time is fully maximized.
  • Assist the wider team with administrative tasks wherever possible, compose correspondence, handle expenses, update the database and meet & greet clients and visitors- at office and home.
  • Liaising with senior individuals, it is essential that you have skills and the confidence and diplomacy to build a rapport with a diverse range of individuals.
  • Impeccable attention to detail, excellent written and verbal communication skills and the ability to handle confidential information with absolute discretion.
  • Must have an interest in people and society, and a passion for socioeconomic development.
  • Must be disciplined to achieve targets and goals, and work with complex workload.

Main duties:

  • Conduct day to day diary meetings with the CEO to discuss upcoming engagements, invitations and other requests.
  • Ensure busy diary commitments, papers and travel arrangements are managed effectively.
  • Arranging, attending and co-coordinating meetings where priorities can change at very short notice.
  • Coordinate travel and accommodation requirements in connection with company’s guest or interns and ensure arrangements match CEO’s requirements.
  • Ensure the CEO is fully briefed on, or prepared for, any engagements she is involved in. Keep and maintain an accurate record of papers and electronic correspondence on behalf of the CEO.
  • Minute general meetings as required and complete research on behalf of the CEO.
  • Maintain a proper filing system.
  • Manage CEO meetings and adhere strictly to protocol.
  • Provide a service that is in line with the CEO’s work habits and preferences.

Required Skills or Experience

  • Must have a minimum of two years’ on the job experience in administration or an executive assistant or PA role in a fast pace environment requiring tactful judgment and discretion in handling internal and external issues.
  • Detail oriented, with speed and accuracy essential
  • Able to deal with confidential information
  • Proficiency in use of MS Office, Excel and PowerPoint, and good understanding of how to use the internet and social media
  • Excellent organizational skills
  • Strong communication skills, both verbal and written
  • Proven ability to work under pressure and to meet tight deadlines
  • Ability to multitask with little or no supervision
  • Willing to travel
