Job Description

PURPOSE OF THE JOB

  1. Provides administrative support to the Head of Dept/ Human Resources Manager on all personnel matters and assists.
  2.  Proactively supports Embedded HR Team in their day-to-day work by undertaking administrative tasks, including the reporting, filing and updating of electronic records, as required on a timely and accurate basis.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Tracks and resolves problems and checks system operations as scheduled.
  • Ensures that human resource files and records are maintained in accordance with legal requirements and Company policies and procedures.
  • Completes monthly and year-end reports regarding terminations, transfers, and new hires.
  • Computes and records payroll data as scheduled.
  • Provides administrative support in the remuneration and benefits area, including administrative tasks required for the annual salary review
  • Maintain a log of staff movements in and out of the company.
  • Update and forward daily attendance list to HR.
  • Maintain an adequate inventory of office supplies and monitor their use
  • Co-ordinate the repair and maintenance of office equipment
  • Provide office support services in order to ensure efficiency and effectiveness
  • Oversee the ordering and buying of toiletries and provisions for the office by the cleaner/messenger

OTHER DUTIES AND RESPONSIBILITIES

  • Receives and tracks employment applications.
  • Maintains and projects the Company’s professional reputation
  • Assists in training new employees. Supports Department personnel as needed.
  • Coordinates with related departments as required. Answers questions and provides assistance.
  • Keeps management appropriately informed of area activities and of any significant problems.
  • Attends and participates in meetings as required
  • Typing, Filing and Managing diaries
  • Responding to customer enquiries and complaints;
  • Ordering office stationery supplies
  • Sorting out the post
  • Answering the phones

SUPERVISORY RESPONSIBILITIES

  • Supervise the work of subordinates in the department to ensure they perform their work effectively.
  • An interface between Manager  and clients

KEY PERFORMANCE INDICATORS

  • The management of human resource information system functions smoothly.
  • Personnel data and statistics are efficiently recorded, stored, and retrieved as appropriate.
  • Reports are completed accurately and timely, and in accordance with established policies & legal regulations
  • Strict adherence to HSE rules and regulations
  • Office Area is maintained according to HSE rules.
  • Ensures accurate report of staff attendance and leave management
  • Ensure the availability of office stationary at all times.
  • Ensure the accurate and prompt filing on the appropriate documents.

Required Skills or Experience

MINIMUM REQUIREMENTS / QUALIFICATION

  • BSc. /HND Business Administration/Management
  • Undergraduate degree in human Resource Management

EXPERIENCE

  • Minimum of 2 years of relevant experience in an HR function and office administration preferably in a multinational industry
  • Management experience in the field of telecom and/or manufacturing
  • Candidate must possess a strong sense of urgency, integrity & drive for success.
  • Experience in learning, understanding and competently communicating in complex situations is required.

KNOWLEDGE

  • Basic understanding of human resource functions.
  • Knowledge of all related computer applications.
  • Understanding of human resource reporting and recordkeeping requirements.
  • Knowledge in office administration
  • Knowledge of management of  sensitive and confidential information
  • Proficiency in the Microsoft Suite

SKILLS & ABILITIES

  • Strong organization and time management skills
  • Attention to details
  • Ability to perform all duties assigned with little or no supervision yet effectively
  • High degree of Integrity.
  • Ability to work under pressure
  • Very good written and oral command of the English language
  • Good analytical skills and abilities
