Job Description

Report to: Management Assistant, Management

Responsibilities:

  • Check in and out of guests.
  • Carry the primary responsibilities for financial records, make sure the appropriate taxes are paid by state deadlines. Oversee efficient use of funds and related tasks.
  • Contact person for guests and staff.

Duties and responsibilities

    • no stains, always in best shape and ironed
  • professional and neat Personal Appearance!
  • Front Office is the communication center, all FO employees have to give all important information to its corresponding department and Management Assistants, all departments need to be updated about changes constantly 
  • check in and check out of guests according to the Front Office work procedures
  • inform every guest about our excursions (tour guide book) and projects (Ankobra Beach letter) 
  • taking reservations and allocating of the rooms and update the reservation schedule
  • take care of cashiering and VAT receipting
  • prepare and distribute the departmental checklists and control sheets according to work procedures, leave a master copy with enough copies in stock
  • prepare and process incoming and outgoing bills
  • advertise, sell and organize tours and activities for all guests
  • advertise and promote the resort constantly by sales conversations on the telephone and face to face according to Front Office work procedures
  • store and organize the departmental files properly, keep reception tidy
  • company-internal information has to be kept confidential and is not leaving the office
  • telephone operating according to Front Office work procedures. 
  • Administration of contacts and telephone books
  • control and order the office stock taking (checklists, credits, stationary, pads, ...)
  • check standards and cleanliness of the guest rooms, guests toilets, gift shop and report to Housekeeping
  • attendance book responsibility: employees sign in at start of work in uniform, if no show after 20 min, employee has to be called and the reason for being late must be clarified (see also Rules & Regulations)
  • store duties during absence of store keeper, its not allowed to hand out store key to other staff
  • keys are only handed out to workers of the specific department
  • keep the front office clean and representative
  • run and administrate the gift shop, commissionaire lists and sales sheets
  • record and charge fees of any item handed over to the guest and employees (Lending List)
  • work according to the front office work procedures
  • know all the important company facts and be able to communicate them to staff and guests
  • check, control and report the maintenance logbook (electricity, maintenance)
  • Off-Day Calculation has to be done weekly and forwarded to Management Assistant (via email to info@ghana-resorts.com )
  • Keep Reservation Folder updated and check expired options / transfers 
  • Make sure reception has enough cash to pay bills or receive shopping
  • Management of Tip-Book
