Job Description

Job Purpose:

To Coordinate and provide strategic administrative support to the Managing Director, to enhance executive effectiveness by providing information and management support to the managing Director.

Duties:

  • Prepares business proposals for prospecting.
  • Develops concept papers and strategies for corporate operations.
  • Develops strategies to promote corporate presence across the world.
  • Organizes and implements client relations including client satisfaction surveys, client development activities, clients’ skills training and special events.
  • Develops comprehensive company profiles and capability reports (In Word / PowerPoint)
  • Prospects and develops new business as per set targets.
  • Submission of Weekly/Monthly/Quarterly reports on marketing activities.
  • Attends to correspondence on behalf of Managing Director.
  • Follows up of legislation and project regulatory requirements.
  • Prepares and submits bids for the Group as per spelt out deadlines.
  • Develops and maintains a filing system for existing records of the Managing Director’s Office.
  • Plans and schedules meetings and appointments
  • Plans, organizes and manages events
  • Manages projects and conducting research
  • Prepares and editing correspondence, reports, and presentations
  • Handles travelling and guest arrangements
  • Provides quality customer service
  • Manages budget of project and the executive office
  • Managing calendars
  • Prepares monthly, quarterly and annual reports on activities
  • Manages an effective database system of all projects and activities
  • Follow up on projects.
  • Coordinate and organize events (conferences, exhibitions, seminars, workshops) of the company.
  • Organizes daily/weekly update meetings for the MD’s Department.
  • Submits of weekly / monthly / quarterly reports on assigned projects till execution.
  • Handles marketing by ensuring that client services provided are efficient.
  • Keeps track of clients whom the company has provided services is satisfactory
  • Follow-up on debt recovery to minimize PAR to zero
  • Carry out any other duties assigned.

  • Management team (Managing Director and others)

  • Expatriates and Guest

External Relations:

  • Maintains contacts with external clients and company’s partners where necessary through regular calls, emails and interface through meetings to identify and address needs of customers.

Responsibility For Assets:

  • Has responsibility for the management of company’s asset
  • Has responsibility for managing the company’s client’s database and executive office information confidential

Required Skills or Experience

Technical

  • An eye for detail with a systematic approach to work
  • Ability to produce accurate work when under pressure.
  • Ability to correspond with third parties on a day-to-day basis.
  • Excellent, polite, professional, friendly telephone manners
  • Good analytical skills, detail handling, problem solving and practical learning
  • Strong MS Office skills, including email, spreadsheets, word processing
  • Sensitivity to confidential matters may be required

Personality

  • High level integrity: Ability to manage clients and executive office secrets confidential.
  • Excellent communications skills: Ability to communicate with people at all levels within and outside the company.
  • Excellent presentation skills: Ability to present strategies and programmes to Managing Director for approval.
