Job Description

Office managers, also called administrative service managers, are business professionals who are responsible for a diverse set of administrative tasks. Whether calculating payroll or hiring new employees, office managers must perform their duties with decisiveness and accuracy for a business to perform well.

Mak-Edu Consult is in search of an Office Manager with poise who is also proficient in English and French, both written and oral.

Responsibilities
The Office Manager will be responsible for facilitating the efficient functioning of an office through a range of administrative, clerical, financial and managerial tasks. 

Responsibilities include:

  • Translating documents from English to French and vice versa without supervision
  • using a range of office software, including email, spreadsheets and databases, Microsoft Office, Google Apps for Work, MailChimps, Content Management System such as Wordpress, etc.;
  • managing filing systems;
  • developing and implementing new administrative systems, such as record management;
  • recording office expenditure and managing the budget;
  • organising the office layout and maintaining supplies of stationery and equipment;
  • maintaining the condition of the office and arranging for necessary repairs;
  • overseeing the recruitment of new staff, sometimes including training and induction;
  • ensuring adequate staff levels to cover for absences and peaks in workload, often by using temping agencies;
  • carrying out staff appraisals, managing performance and disciplining staff;
  • delegating work to staff and managing their workload and output;
  • promoting staff development and training;
  • implementing and promoting equality and diversity policy;
  • writing reports for senior management and delivering presentations;
  • responding to customer enquiries and complaints;
  • reviewing and updating health and safety policies and ensuring they are observed;
  • arranging regular testing for electrical equipment and safety devices;
  • attending conferences and training;
  • management of content on the website and social media platforms of the company.

Working hours

  • Due to the nature of the work, you may be expected to work extra hours to finish a job.

What to expect

  • Work is office-based.
  • Smart and professional attire is expected, particularly in customer-facing roles.
  • The work may be stressful, since an office manager is often responsible for meeting targets and deadlines and for disciplining staff.
  • Some travel during the day may be necessary, particularly in split-site locations.
  • Travel within a working day is sometimes needed and may be required at short notice.
  • Overseas travel is rarely needed.

Required Skills or Experience

  • A degree or related qualification is required with strictly 5 years minimum experience in that role.
  • Bilingual competency with fluency in English and French, both written and oral.
  • Skills to translate from English to French and vice versa without any supervision.
  • Proficiency in Microsoft Office, especially MS Word, MS Excel, MS Powerpoint.
  • Ability to use Google Apps for Work i.e. Google Drive, Calendar, Docs, Sheets, Slides, etc.
  • Professional writing skills, ability to manage a blog or newsletter.
  • Familiarity with social networking websites
  • Ability to use bulk email services such as MailChimp, etc.

Skills

You will need to show evidence of the following:

  • excellent organisational and time management skills;
  • good IT skills, including knowledge of a range of software packages;
  • the capacity to prioritise tasks and work under pressure;
  • ability to liaise well with others and delegate tasks;
  • strong oral and written communication skills for both English and French;
  • ability to work on your own initiative;

  • flexibility and adaptability to changing workloads;
  • problem-solving skills and project management ability.
