Company Profile

Chemonics International seeks the following operations & administrative staff for the recently-awarded USAID-funded Case Tracking System Project. The purpose of this project is to develop a criminal case tracking system (CTS) to support the Government of Ghana to effectively investigate and prosecute criminal cases. 

Job Description

The Receptionist reports directly to the Office Manager. He/She will be primarily responsible for receiving of visitors by greeting, welcoming, and directing them appropriately. The position is the project’s front office interface and must be professional and welcoming in carrying out assigned responsibilities at all times; maintains front office security and shared telecommunications efficiency. The receptionist is expected to have good administrative skills to support APSP’s Operations team.

Specific responsibilities will include:

  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Assists with administrative matters, composes routine correspondence, maintains and updates project staff/clients contact list, distributes incoming mail, prepares outgoing mail
  • Directs authorized visitors to the proper offices, verifying appointments and arranging for escorts, as needed
  • Maintains security by observing protocol and adhering to internal procedures;
  • Maintains safe and clean reception area by complying with procedures, rules, and regulations.
  • Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
  • Maintains telecommunication system by following manufacturer's instructions for house phone and console operation.
  • Responsible for managing the front desk telephone systems

  • Contributes to team effort by accomplishing related results as needed
  • Performs other administrative tasks assigned by supervisor to ensure efficient and smooth support to the project
  • Supports the administration team to carry out project operations as directed.

Required Skills or Experience

  • Bachelor’s Degree in Administration, Social Sciences or a related field.
  • 2+ years of professional work experience with a Ghanaian or international organization, preferably working on a USAID or other donor-funded project or program
  • Telephone Skills, Verbal Communication skills, Microsoft Office Skills, Strong Customer relations skills will be an added advantage
