Job Description

Our client, a global health organisation with the aim of improving the health of people in developing countries is looking for an organized and efficient Executive Assistant to help in their operations in Ghana.

ROLE PROFILE

The successful candidate will provide effective support to senior staff members, primarily to the Country Representative and the Chief of Party.

ROLES/RESPONSIBLITIES

  • Edit documents and spread sheets in Word and Excel.
  • Manage correspondence including receiving incoming mail and sending outgoing mail through DHL
  • Schedule, prepare for, and attend meetings, and take minutes as requested.
  • Organize Meetings and ensure that the team is well prepared for the meetings.
  • Assist with travel arrangements for the organization staff including: helping to secure visas, making hotel reservations and airport pick-up for visitors.
  • Prepare travel expense reports.
  • Create and maintain filing systems.
  • Create presentations, reports and proposals.
  • Support with the general filing (both electronically and in physical files), photocopying and archiving of documents for the Senior Management Team.
  • Facilitate and respond to internal and external requests for information.
  • Organize workshops, special events and international meetings.
  • Respond to internal and external requests for information.
  • Design innovative ways to manage knowledge and information tracking needs.
  • Assist in the preparation of monthly and quarterly reports.
  • Provide excellent customer service and attend to customer complaints.
  • Assist with the company’s project and research activities.
  • Maintain records of office stock and ensuring supply of office equipment’s and stationery.
  • Manage the Senior Team Members Diaries.
  • Finding out important events and functions the Senior Team should be aware of and should attend.
  • Perform additional duties that may be assigned by the Human Resources and Administration Manager

Required Skills or Experience

  • University degree in Political Science, Economics, Administration or related.
  • Master’s degree will be an added advantage.
  • Training in Journalism is a plus.
  • 5-10 years working experience in similar role.

REQUIREMENTS

  • Perfect English language skills.
  • Proficient with standard workplace ICT equipment, ability to develop and maintain databases and budgets and supporting the design and implementation of monitoring and evaluation impact assessments.
  • Excellent communication skills and proven experience in dealing with stakeholders in government.
  • Technologically competent in MS Office (Word, Excel, PowerPoint).
  • International exposure; French language skill is a plus.
  • Has worked as a trusted and confidential employee assigned to a high level principal.
  • Proven level of professionalism and dedication to meet the required profile.
  • Willingness to work flexible in response to changing organizational requirements.
  • Discretion.

  • Highly developed customer service orientation is required for this support function.
  • Ability to work as a member of a team and to place team success over individual achievement.
  • The individual must be able to multi task and perform under pressure.
  • Maintain good relations with colleagues, and act fairly and impartially with subordinates.
