Job Description

We are looking for an Office Manager/Executive Assistant to organize and coordinate our group office administration and procedures. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a group office that supports a number of companies and its diverse people.

Responsibilities:

  • Responsible for office management duties including maintenance, mailing, procurement, supplies, equipment, bills, and errands
  • Ensure both digital and hard copy filing systems are maintained and up to date
  • Ensure personnel files are up to date and secured and partner with HR firm to maintain staff policies as necessary
  • Ensure timely procurement/renewals of business permits, insurance, and other regulatory requirements
  • Manage and supervise office staff
  • Organize and schedule meetings and appointments
  • Organize office operations and procedures
  • Coordinate with IT department on all office equipment and facilities
  • Manage relationships, contracts and price negotiations with vendors, service providers, and contractors
  • Manage office budget, ensure accurate and timely reporting
  • Responsible for general office facilities management
  • Provide general support to visitors
  • Provide executive support to Group Managing Director

Required Skills or Experience

  • Highly organized individual
  • Must be trustworthy and confidential
  • Proven office management, administrative or assistant experience
  • Knowledge of office management responsibilities, systems, and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Great attention to detail
  • Strong analytical and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • High-level proficiency in MS Office
  • High-level proficiency in online productivity and business communication tools
  • At least 3 years work experience
