Job Description

Our client, a leading supermarket that deals in various fast moving quality products is currently seeking to hire a proactive Administrative Manager to help with their operations.

Role Profile

The successful candidate will effectively manage net profit for the store by influencing sales, customers, stock management and team.

Duties/ Responsibilities

Budgeted Profitability

  • Monitor daily budgets
  • Ensure Floor Managers are completing their Daily Turnover and Profit Cards
  • Ensure that figures are communicated to staff, to increase motivation to sell more and add-ons
  • Monitor the progress of budgeted turnover and gross profit in the store
  • Where necessary puts strategies to increase turnover in underperforming departments
  • Ensure adherence to Company legislated procedures within the store in order to keep shrinkage to the minimum
  • Ensure that high-risk counts are done, discrepancies are followed-up and that the correct procedure is followed to balance the stock
  • Investigate and take the appropriate action of known theft items
  • Ensure that appropriate measures are taken to secure the assets of the Company
  • Maintain key control of the store and off-site warehouse
  • Ensure that you know the Repair and Maintenance budget for the month in order not to overspend

Customer Service

  • Ensure that all customer complaints are dealt with quickly and effectively
  • Ensure that there are adequate staff on the floor and at the off-site warehouse to help customers
  • Ensure that the layout of the store allows customers to move freely through aisles and to have easy access to the stock
  • Liaise on an ongoing basis with suppliers on product trends, competitors, quality/quantity to stock, deliveries, displays, in-store promotional activity, product knowledge and customer returns.
  • Ensure that all customer complaints and praises are communicated to the floor managers and staff

Stock Management

  • All merchandise displayed according to store layout, promotion activity and Company policy
  • Ensure that all Company procedures are carried out correctly and efficiently regarding price changes, markdowns, substitutes, bonus buys, etc.
  • Ensure all merchandise is in a saleable condition
  • Ensure that adequate stock levels are maintained
  • Ensure action is taken on gondola ends, as per the Weekly Bulletin
  • Ensure display models are clean, neat and in a working order at all times
  • Ensure Floor Managers action various stock lists, as per Company policies/procedures and follow-up there after
  • Ensure housekeeping standards are maintained
  • Ensure that low and out-of-stocks are followed up by the Floor Managers
  • Ensure the Discontinued (GRR) and Aged stock (GJS) reports are pulled on a regular basis and actioned accordingly
  • Ensure Forward Stock days are brought in line with the required days, as per document
  • Ensure that the picking slip report is actioned daily to move stock from the stockrooms and/or Offsite Warehouse
  • Action minus discrepancies on the Picking slip report daily to ensure correct stock figures in bin location.
  • Do regular audits on bins in the stockroom/offsite warehouse to check accuracy of picking slip report.

Team management and staff development

  • Take ownership for talent and performance management initiatives of direct reports
  • Mentor and/or coach direct reports to improve performance
  • Identify substandard performance by direct reports and take necessary corrective action
  • Identify top performers and develop appropriately
  • Plan ahead and communicate team performance standards and objectives
  • Recognition either formally or informally for outstanding performance Training and Development
  • Within budget, ensure that team members and Floor Managers are given all necessary training to enable them to perform their roles. This includes technical skills and on-the-job training. Succession Planning and Career Pathing

Implementation and maintaining of merchandise standards

  • The standards of the store and off-site warehouse must always be of a high level
  • The category management and merchandising of stock should be in line with Merchandise Standards manual
  • Bulk stacks should be carefully planned and placed in such a manner, as not to disturb the customer flow and to make the store look attractive and inviting
  • Manage Floor Managers to ensure no stock are merchandised, without signage and it being uniformly printed
  • Manage Floor Managers to ensure stock are not being left unattended, blocking aisles or too much stock brought for a department at one time

Warranty targets

  • Ensure that Floor Managers drive an awareness to the team and that the team are driving it down to the customer
  • Ensure that progress are communicated downwards on a regular basis
  • Recognise good achievement of meeting targets
  • Put an action plan in place to meet the target, when sales are slow

Required Skills or Experience

  • A bachelor’s degree in Sales/ Marketing or related field
  • 3-5 years’ management experience or similar position
