Job Description

  • JOB TITLE: PERSONAL ASSISTANT
  • LOCATION: SPINTEX ROAD, ACCRA

 

JOB DESCRIPTION:
The Personal Assistant enhances the CEO’s effectiveness by providing information and management support.

  1. Managing day to day Operations of the CEO’s office
  2. Schedule and attend confidential meetings, prepare agendas, and transcribe or distribute minutes
  3. Administrative Assistance to the CEO
    • Receiving and appropriate documentation of all correspondence 
    • Receiving and welcoming all visitors
    • Setting up and managing  Meetings
    • Managing  Diary and appointments
    • Bills and domestic workers
  4. All company protocol
    • CEO’s  travel arrangements
    • Employee foreign travel arrangements
    • Travel assistance for foreign clients/ vendors & visitors
    • Hosting foreign guests
    • Assisting with event planning
  5. Maintaining all documents and files including confidential information 
  6. Assist with Research and preparing presentations
  7. Manage the company ‘s board room in terms of security and access
  8. Any other duties assigned

Required Skills or Experience

  • QUALIFICATION: 1st degree or HND in the area of Humanities, Social Sciences, Administration, Accountancy or Secretarial Studies.
  • EXPERIENCE: A minimum of three (3) years experience in a similar role

KNOWLEDGE
The incumbent must have proficient knowledge in Office administrative procedure

SKILLS & ABILITIES
The incumbent must demonstrate the following skills and abilities

  • Ability to maintain a high level of confidentiality
  • Excellent  inter personal skills and organizational skills
  • Effective communications skills
  • Knowledge of Visa / travel processes
  • Computer skills including the ability to operate spreadsheet  and word- processing  programs and fast typing skills
