Job Description

We are a reputable Fashion company in Accra looking for a Personal Assistant.

The Personal Assistant enhances the C.E.O’s effectiveness by providing information and management support

Duties and Responsibilities

  1. Managing the day to day operations of the C.E.O’s office
    • Schedule and attend meetings and daily briefings
    • Attend meetings on behalf of CEO
    • Prepare agendas, and transcribe or distribute minutes to all attendees and ensuring all actions are implemented
    • Communication, Reporting And Documentation
    • Carrying out research and presenting findings
    • Producing documents, briefing papers, reports and presentations
    • Preparing presentations for meetings
    • Client relationship management and providing excellent customer service
    • Managing internal and external correspondents for the Executive Director
  2. Administrative Assistance to the C.E.O
    • Managing diary appointment 
    • Receiving and welcoming all visitors
    • Setting up and managing meetings
    • Devising and maintaining office systems
    • Providing administrative support such as filling of documents and letters
    • Taking notes/ writing minutes
  3. Company protocols
    • Arranging travel, visa and accommodation 
    • Screening phone calls, enquiries and requests
    • Organizing and maintaining diaries and making appointments
    • Dealing with incoming email, faxes and post
    • Liaising with clients, suppliers and other staff.
    • Working more closely with management
    • Being involved in decision-making processes
    • Other duties assigned by the C.E.O.

Required Skills or Experience

  • Knowledge of office management systems and procedures
  • MS Office and English proficiency
  • Outstanding organizational and time management skills
  • Up-to-date with latest office gadgets and applications
  • Ability to multitask and prioritize daily workload
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
  • Bachelor’s degree and above, a Diploma and others
  • PA diploma or certification would be an advantage

Required Skills and Experience

  • Qualifications: 1st degree and above, a diploma and others                                                                                  
  • Experience: A minimum of three (3) years experience in similar role

KNOWLEDGE                                                                                                                                                                                 
The incumbent must have proficient knowledge in Office administrative procedure

SKILLS & ABILITIES                                                                                                                                                                        

  • The incumbent must demonstrate the following skills and abilities
  • Ability to maintain a high level of confidentiality
  • Excellent  inter personal skills and organizational skills
  • Effective communications skills
  • Knowledge of Visa / travel processes
  • Computer skills including the ability to operate spreadsheet  and word-processing  programs and fast typing skills
