Job Description
The Executive Assistant (EA) to MD will provide efficient,professional and confidential executive support to the MD using a range of administrative skills.
The Executive Assistant‘s primary responsibility is to provide logistical support and office coordination to the organization, ensuring the installation of appropriate systems and tools for the team’s success.
- Coordinate the daily business of the MD by regularly reviewing diary, meeting and travel demands and identifying possible issues which may impact on the activities of the Office of the MD.
- Provides sophisticated calendar management. Prioritizes inquiries and requests while troubleshooting conflicts with little guidance; makes judgments and recommendations to ensure smooth day-to-day engagements.
- Assigned work related to human resources
- Analyze enquiries and requests from internal and external stakeholders, determine and take appropriate action on behalf of the MD, including the redirection of enquiries to appropriate personnel.
- Maintain client confidence and protect the professional integrity of the MD and Board by keeping information confidential.
- Communicate and liaise with senior executives from public and private organizations on a wide range of issues, respect confidentiality and maintain effective working relationships.
- Manage the flow of incoming/outgoing correspondence for the Office of the MD whilst also being required at times to assist with whole-of-organization correspondencecoordination.
- Coordinate meetings for the MD, including coordination of attendees, organizing pre-briefs where required and preparation of meeting minutes.
- Provide historical reference by developing and utilizing filing and retrieval systems.
- Maintain office supplies inventory by placing orders to maintain required inventory level,evaluating new office products and verifying receipt of supplies.
- Provide general administrative support to other sections of the company as required, toensure consistent and efficient processes are maintained.
- Continually review duties and operations to ensure optimal efficiency in the EA role.
- Coordinate the arrangement of whole-of-organization travel bookings in an efficient andcost effective manner.
Required Skills or Experience
- Bachelor Degree in Finance, Accounting or Business Administration or a related field and at least 5 years working experience in similar responsibilities.
- Language proficiency : English and French Both
- Demonstrated experience in providing high level executive support in a professional and confidential manner, including the ability to establish work priorities and meet predetermined deadlines and commitments.
- High level communication skills with experience in liaising with internal and external stakeholders and senior executives, coupled with the ability to exercise initiative, discretion and maintain a high level of confidentiality.
- Effective utilisation of computer applications and databases to accomplish tasks, with high level computing skills in Microsoft Outlook, Word, Excel and PowerPoint.
- Proven skills in organising and maintaining relevant documentation for meetings with experience in providing executive support to committees.
- Demonstrated ability to manage varied and conflicting demands to agreed standards and timelines, using a pro-active attitude with minimum guidance
