Job Description

Location: Accra

Our client, a leading manufacturer operating in the public work sector, is currently seeking to hire a proactive Director’s Secretary to help with their operations in Ghana.

Role Profile

The successful candidate will be responsible for supporting high-level executives and management or entire departments. Provides administrative support and performs numerous duties.

Duties/ Responsibilities

  • Schedule meetings and arrange conference rooms.
  • Alert Director about cancelations or new meetings.
  • Manage travel and schedule.
  • Prepare correspondence and stuff mail into envelopes.
  • Arrange for outgoing mail and packages to be picked up.
  • Prepare statistical reports.
  • Manage spreadsheets.
  • Prepare confidential and sensitive documents.
  • Coordinates office management activities.
  • Determine matters of top priority and handle accordingly.
  • Prepare agenda for meetings.
  • Takes and transcribes minutes.
  • Helps prepare office budget.
  • Plans events and volunteer activities.
  • Maintain office procedures.
  • Coordinate travel arrangements; prepares itineraries; prepares, compiles and maintains travel vouchers and records.
  • Coordinate committees and task forces.
  • Relay directives, instructions and assignment to executives.
  • Receive and relay telephone messages.
  • Maintain hard copy and electronic filing system.
  • Sign for UPS/Fed Ex/Airborne packages.

Required Skills or Experience

  • A bachelor’s degree or Masters in a scientific subject or related field
  • At the least 5 years’ experience acquired in a similar position
  • Perfect knowledge of computer systems is an added advantage

     Requirement

  • Perfect knowledge of IT systems
  • Must have in depth knowledge of office management
  • Maximum aptitude to human contacts
  • Familiarity with basic research methods and reporting techniques
  • Perfect knowledge of both written and spoken Italian
  • Good predisposition to work in team
  • Excellent organizational and time-management skills
  • Outstanding communication and negotiation abilities
  • Integrity and confidentiality
  • Perfect knowledge of computer systems
  • Must possess leadership skills
  • Proven ability to take on a variety of different tasks without becoming overwhelmed
