Job Description

JOB TITLE: Group Head, Human Resources and Administration

JOB PURPOSE  
Provide strategic HR leadership to the Group, and lead in the transformation of HR   Systems and Processes to be aligned to best practice and compliant to the Labour Act.

MAJOR RESPONSIBILITIES & ACCOUNTABILITIES

  • Advise Management on HR and administrative matters.
  • Partner with all Department Heads for the smooth management of people issues.
  • Design, implement and monitor adherence to HR policies in the areas of recruitment, training and development, employee relations, rewards management, and human resource information systems.
  • Design, implement and monitor adherence to administrative policies and procedures in the areas of security.
  • Design and implement HR systems and strategies to facilitate the recruitment, training and development, motivation and utilization of employees to achieve competitive advantage for the company.
  • Promote and facilitate events for employee engagement to identify and remove barriers to employee motivation.
  • Develop and implement employee records and information system to facilitate easy identification and retrieval of employee personal and career data.
  • Undertake regular review of HR and administrative systems, policies and procedures to ensure conformity with best practices.
  • Assign duties and monitors activities of team members in order to achieve set targets
  • Identify learning and development needs of team members and recommends training and/or other interventions for them
  • Assess performance of team members
  • Administer discipline to direct reports, when appropriate
  • Manage relationship with Union to ensure the existence of a sound industrial relationship environment.

OTHER DUTIES:
Performs any other duties within the scope and intent of the job as may be required from time to time

DEPARTMENT RELATIONS

  • Maintain contact with all other departments and other Line Managers on Administrative and HR matters
  • Maintain contact with all staff on a regular basis to explain policies, processes and procedures and deal with employee issues.

EXTERNAL RELATIONS
Maintain contact with Ghana Employers Association, Executives of GIBA. Suppliers of HR Services etc.

RESPONSIBILITIES FOR ASSETS
Has responsibility for the maintenance of confidential employee and organisational data.
Has responsibility for the proper care and efficient use of office furniture and equipment, computer hardware and accessories, telephones and other general office supplies assigned to the departmen

Required Skills or Experience

  • At least a good first degree in Administration and Human Resources, Social Sciences or its equivalent from a recognised institution and a minimum of ten years related work experience. A post graduate degree in HR an advantage.
  • Professional Certification in Human Resources e.g. IHRMP (Institute of Human Resource Management Practitioners) SPHR (Senior Professional Human Resource ), CIPD (Chartered Institute of Personnel and Development), etc.

Technical

  • A minimum of eight (8) years working experience in a similar role with at least three (3) years in a management level
  • Working knowledge of the Labour Act, 2003 (Act 651)
  • Knowledge of current trends in Human Resources
  • Good appreciation of HR risk management.
  • Knowledge of Best practices HR Strategy.
  • Leadership, negotiating and influencing skills.
  • Excellent presentation, communication and interpersonal skills
  • Proficient ICT skills in Word /Excel / PowerPoint

Behavioural Competencies

  • Ability to handle conflicts and delicate interpersonal situations with tact and diplomacy
  • Ability to establish credibility with Line Managers and build collaborative relationships with them.
  • Assertiveness - ability to articulate views and decisions and stick to them where necessary.
  • Must have high level integrity
