Total Family Health Organisation (TFHO) is an indigenous Ghanaian social marketing organization duly registered in accordance with the laws of Ghana on February 1, 2017. We work to improve the health of people living in Ghana primarily through implementation of innovative evidence-based interventions that increases access to and utilization of health products and services in a measurable and impactful way. Our key intervention areas include Family Planning and Reproductive Health, Maternal, New-born, and Child Health (RMNCH), communicable and noncommunicable diseases, Water Sanitation and Hygiene (WASH), nutrition, and malaria. We utilize our deep insight and skills in Social and Behaviour Change Communication (SBCC) and social marketing to promote positive social and behavior change among individuals and communities.

Job Description

Total Family Health Organisation (TFHO) is a Ghanaian registered non-profit social marketing organization, dedicated to improving the health of people with a focus on Family Planning, Water Sanitation and Hygiene, as well as Maternal and Child Health. TFHO is an independent network member of Population Services International which is headquartered in Washington DC, USA and due to the nature of our operations, we are looking for a highly qualified candidate for an Executive Assistant role.

We are looking for a multi-talented person with strong administrative and operational skills, who has an insight into development issues generally in Ghana and can demonstrate flexibility in working with an Executive Director.

The optimum candidate should be highly motivated, possess a strong leadership skills, drive and motivation, have a sense of initiative, be a team player with analytical skills and the aptitude and enthusiasm for continued learning. Speed, Quality, Tact, Diplomacy and Self Awareness are qualities needed for this role

KEY RESPONSIBIITIES

  • Edit documents and spread sheets in Word and Excel.
  • Schedule, prepare for and take minutes as requested
  • Organize meetings and ensure that the Executive Director is well prepared for the meetings
  • Assist with travel arrangements for the Executive Director including: helping to secure visas, making hotel reservations and airport pick-up for visitors and attendant arrangements.
  • Prepare travel advance requests and expense reports as and when needed.
  • Organize workshops, special events and international meetings for TFHO Executive Director
  • Facilitate and respond to internal and external requests for information
  •  Assist in the preparation of monthly and quarterly reports.
  • Manage the Executive Director’s Diary
  • Support with the general filing (both electronically and in physical files), photocopying and archiving of documents for the Executive Director.
  • Finding out important events and functions the Executive Director should be aware of and should attend.
  • Perform additional duties that may be assigned by the Executive Director

Required Skills or Experience

QUALIFICATIONS

  • University degree in Political Science, Economics and or Administration from a recognized institution or an equivalent combination of education, training and experience
  • Minimum  of 3 years working in a multinational organization or similar environment    

REQUIREMENTS

  • Perfect English language skills, working knowledge in French would be advantageous
  • Proficient with standard workplace ICT equipment, ability to develop and maintain databases and budgets and supporting the design and implementation of monitoring and evaluation impact assessments
  • Excellent communication skills and proven experience in dealing with stakeholders in government
  • Has worked as a trusted and confidential employee assigned to a high-level Director
  • Proven level of professionalism and dedication to meet the required profile
