Job Description

Background
A private school in Accra seeks to recruit a qualified and experienced administrator to support effective and efficient administrative management of the school and assist it to reach its growth potential. The Administrative Manager will support the school leadership to realize the school’s institutional vision of serving as a nationally-recognized educational Centre of Excellence. 
 
Summary of Functions
Working under the direct supervision of the School Director, and in close cooperation with the Head teacher, the School Administrative Manager (SAM) will oversee the administrative and facilities management of the school, including human resources management, provide support for budget and financial management and coordinate school outreach activities. The role of the SAM will complement that of the Head teacher, to ensure effective academic and administrative management of the school.
 
Specifically, the SAM will assume the following responsibilities:
 
Operational Management
  • Oversee all aspects and stages of administering students – from admissions to graduation 
  • Oversee the school admissions programme, including admission of new students, creation of appropriate admissions and marketing materials and maintenance of relevant statistics on all aspects of the admission programme
  • Administer and supervise maintenance of the physical facilities of the school
  • Coordinate school purchases and arrange bids and develop specifications for all outside contractual work
  • Oversee school transportation contracts and schedules
  • Maintain equipment, textbook and stationery supply inventories 
  • Manage the school canteen and ensure cleanliness of the school compound and playground
  • Promote a safe and healthy learning environment for students and oversee fire drills and student, staff and public safety measures in the school
  • Manage the school calendar of events, including field trips and special events in consultation with the Headteacher
  • Oversee extra-curricular programmes of the school in consultation with the Headteacher 
  • Support the Head teacher to manager the calendar of vacation programme activities 
  • Supervise and evaluate the work of non-teaching staff 
  • Administer the school in the absence of the Head teacher
Budgetary and Financial Management
  • Support preparation of the school annual budget prior to the start of each academic year
  • Provide support for management of the school budget and maintenance of appropriate records for all financial engagements in accordance with established accounting practices
  • Prepare a monthly operating statement for the school management and board of directors
  • Assist in making school purchases, financial investments, banking activities, payroll and benefits programmes
  • Facilitate the conduct of an annual audit of the school’s financial records 
Outreach
  • Coordinate information-sharing to students, parents and staff and outreach activities targeted to the community and local businesses
  • Oversee fundraising activities, including outreach to corporate bodies and foundations for specific school projects
  • Design and implement programmes that enhance public perception of the school, including activities to increase alumni and parental support of, and involvement in promotion of the school
  • Represent the school at various external meetings as required
  • Perform other duties as assigned by the school management

Required Skills or Experience

  • Bachelors degree in Business, Administrative Management or related field
  • 1-3 years supervisory experience
  • Prior school management experience or management experience in an organization with similar structures and complexity as a school 
  • Proficient in computer usage (Microsoft Word, Excel, basic internet research)
  • Demonstrated ability to communicate effectively and manage conflict.
