Job Description

Our client is a leading automobile dealership with operations around the country seeking to employ a suitably qualified and well-motivated person to the position of HR/Admin Manager.

Responsibilities

Human Resource Planning and Staffing

  • In consultation with CEO, prepare and implement annual HR strategic plan to support the overall strategic objective of the organisation
  • In alignment with Top Management  mid-long term view and consultation with  other managers, department heads, anticipate future staffing needs in line with organizational strategic plan
  • Manage the implementation Company’s recruitment and selection policy, ensuring that recruitment practices are fair, consistent and comply with labour regulations and industry/international best practice
  • Manage staff induction, probation and on-boarding in line with Company’s policy.
  • Custodian and responsible to continue revision of Job Descriptions  to  meet Company continuous dynamic needs.
  • In charge of General Services (Offices management, Guest House , Drivers)

 

Employee Relation

  • Provide leadership to staff, ensuring that all staff are aware of and comply with Company’s policies and procedures
  • Act as focal point for all staff enquiries regarding policies and procedures
  • Monitor and advice disciplinary and grievance matters in accordance with Company’s policies and procedures
  • Ensure that staff are informed and updated on key business and organizational issues
  • Work closely with senior and line managers, providing them with expert guidance, coaching and support on the full range of HR activities (including policies and procedures, terms and conditions of employment, absence management, restructuring of services, performance management, redundancy planning etc.), in order to ensure a consistent and fair approach to people management throughout the organisation.

Performance Management

  • Ensure that a robust performance management system is in place, adjusted to Company dynamism.
  • Match  Top Management goals for the year , cascaded to line managers  and finally been  shared and endorsed by Staff.
  • Monitor and review the system of performance appraisal and continually updated as necessary, ensuring that annual appraisals are carried out in a timely manner.

Training and Development

  • Ensure that cross organizational training and development plan is in place
  • Ensure organizational development priorities across all business segments, including skills audit and advising the CEO where appropriate
  • In consultation with department heads and supervisors, follow up individual development needs and source external training provisions as and when required, monitoring training costs against budget
  • Conduct training for staff on HR issues where appropriate
  • Maintain training records for all staff and assist with any training initiatives

 

HR Administration

  • Oversee regular reviews of Employee Handbook, ensuring that policies and procedures remain in compliance with local labour laws, and recommend updates where required
  • Assist business segments to develop and implement business-specific HR processes
  • Develop and maintain a system to ensure that staff files are kept up to date and easily accessible to authorized personnel
  • Provide leadership and supervision for employee leave administration
  • Monitor absence and sickness levels and provide monthly report to the CEO
  • Review and manage new starter and exit processes, including conducting exit interview for all staff

Supervision and Management

  • Manage HR staff as appropriate, including performance appraisals
  • Provide technical management to staff with HR functions in other business segments
  • Monitor HR trends throughout the organisation, and provide management report on Key Performance Indicators to the CEO

Compensation and Benefit Administration

  • Gather and analyse market data to ensure competitiveness of employee compensation and benefit package and make recommendations where necessary
  • Assist with the annual salary review process, as and when required

Required Skills or Experience

  • Educated to Masters’ Degree level, preferably in Business Administration with concentration in Human Resource Management
  • Chartered or Student member of a recognized HR Professional body (SHRP / CIPD / IHRMP)
  • Ten (10) years’ work experience in automobile industry.

Knowledge

  • Fully proficient of Ghanaian employment legislation and labour laws
  • Principles, practices and techniques of human resources administration, organisation and operation
  • Method and techniques for professional record keeping and reporting
  • Familiarity across the recruitment and selection process, including induction, on-boarding and probation management
  • Principles and practices of effective performance management, training and development

Skills

  • Excellent interpersonal, verbal and written communication skills
  • Sound judgment and the ability to maintain confidentiality
  • Respect for diversity, and sensitivity to other cultures
  • Researching, data collection, manipulating and reporting skills
  • Solid computer/technology skills: MS Word, Excel, Power Point, Outlook

Ability to

  • Effectively plan, implement and manage assigned programmes and functions
  • Establish and maintain effective working relationships with individuals at all levels of the organisation
  • Implement, explain and apply applicable policies, procedures, regulations and laws
  • Make oral presentation to clearly convey concepts and information
  • Work independently and as part of a team, and ensure safe working practice
