Job Description

A reputable fast growing NGO into Primary Health provision in Greater Accra, Central, Western Regions and Ashanti Region is looking for result-oriented Health Service Administrator (Clinic Director) for immediate employment. The vacancy is located at Ejisu, Akyawkrom. 
 
He/She will be responsible for and oversees the day-to-day administration of the clinic. Directs administrative functions including but not limited to the following: personnel management, care and control of accounting and financial records, building management and maintenance, and purchase of equipment and supplies.  Perform any other duties as may be required or assigned.
 
Main Duties and Responsibilities

Leadership Role:

  • Champions the clinic and organization’s mission consistently through actions, and communication.
  • Effectively communicates and implements organizational projects and goals in a timely manner.
  • Provides feedback in a timely fashion on potential and real issues to management and works with management to formulate solutions as well implement those solutions.
  • Represents Sanford professionally to all stakeholders like vendors, GHS, MOH, District Assembly etc.
  • Holds self and all other staff to the highest standards of customer service and safe, quality medical care.
  • Utilizes email, video conference, and other communication mechanisms effectively to provide timely feedback to staff and leadership teams.
  • Expected to lift up thoughts, ideas, and concerns openly and consistently with leadership and peers to support continuous improvement of clinic and organization.
  • Human Resources:
  • Complies with all Sanford policies, processes, and procedures and leads compliance for in the clinic
  • Works closely with HR and management to address all human resource issues including but not limited to requesting new positions/locum, coordinating onboarding of new staff, ensuring full completion of new hire processes, ensuring completion of termination processes, et cetera
  • Carries annual performance review for all staff and works with HR, enforces disciplinary actions according to policy.

Finance, Budget and Procurement:

  • Works with finance and leadership to prepare annual budgets.
  • Takes responsibility to meet budget plans, reviews monthly financial reports and takes measures to ensure cost control and increase revenue following organizational goals and objectives. 
  • Oversees the staff to ensure claims preparation process and submission of claims is done within the set standards and deadlines.

Facilities and Equipment Management:

  • Ensures maintenance of clinic and all clinic facilities
  • Ensures all clinic equipment are maintained in good operational order, and tracks
  • Prepares and maintains a pool of vendors for maintenance and repairs of clinic facility and equipment and keeps an updated record of this pool on appropriate electronic platform
  • Personally, ensure that that the clinic staff have water and the generator has fuel at all times

Electronic Medical Record and Reporting:

  • Promptly reports EMR and IT issues to the Systems Administrator and Director of Operations and/or US team immediately to expedite troubleshooting and resolve.
  • Oversees and ensures that GHS and other reports are completed and filed in a timely and consistent manner.

Required Skills or Experience

  • First Degree in the Social Science or Humanities with at least three-year experience in Health Management or Administration.
  • Degree in Health Service Administration with at one-year experience in mentorship training.
  • Must have completed National Service
  • Post Graduate qualification will be an added advantage but not required
  • Master’s degree is desired but not required 
  • Experience in similar position in private practice will be an advantage
