Job Description

  • Job Title: Finance&Administrative Officer
  • Job Location:  Eastern Region/Kwahu
  • Employment Type: Fixed Term (Renewable)
  • Report To: Director of Development

Job Brief

The Job holder will support in establishing systems and policies to support the financial management of the Organization’s operations. The incumbent will ensure compliance with corporate policies, practices and procedures.

Finance role responsibilities

  • Review current policies and procedures related to financial management systems to ensure compliance with corporate requirements
  • Prepare periodic budgetary control statements determine project financial performance and suggest corrective action, if required. Ensure corrective action is taken, in partnership with program teams.
  • Review and strengthen the financial systems for the organization, as appropriate
  • Process checks and code expenditure (travel advances, imprest and purchase requisition)
  • Analyse variances and explore potential problems with project budget, working closely with staff to forecast and address any variances
  • Perform quarterly assessments, making periodic visits to program areas to provide field staff support, address challenges, and explore potential possibilities for innovations.
  • Ensure that Program expenditures and activities are in compliance with program budgets and requirements.
  • Ensure that any and all challenges to the budget are documented transparently.
  • Prepare Financial report on monthly basis for internal use.
  • Produce periodic management reports for Senior Staff.
  • Work with Senior leadership Team to prepare project quarterly budgets
  • Participate in internal and external audits by providing auditors with accounting documents as requested and provide explanation for audit queries.
  • Manage Compliance with Ghana Tax law

Administrative Responsibilities

  • Monitor and maintain office equipment and inventory supplies.
  • Create, update and maintain records and databases.
  • Update office policies and procedures
  • Schedule Company Calendar and update as needed
  • Prepare reports on expenses, office budgets and other expenditures
  • Prepare travel arrangements for office staff and managers by overseeing expense reports and budgets.
  • Coordinate Office maintenance issues

Required Skills or Experience

  • Professional Qualification in ICA/ACCA is required
  • Minimum of 3-5 years’ experience in a Finance/Admin position
  • MBA in Finance/Accounting/Administration is a plus.
  • Must have experience with working with an NGO
  • Must understand Accounting policies and procedures
  • Excellent knowledge of Excel, PowerPoint and Accounting software, preferred.
  • Experience and understanding of not-to-profit accounts
  • Must possess good organizational skills.
  • Must ensure timely delivery of task.
