Job Description
PURPOSE OF THE JOB
To provide support in the various human resources and functions, which include recruitment, staffing, training and development, performance monitoring and employee counseling.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
- Tracks and resolves problems and checks system operations as scheduled.
- Provides administrative support in the remuneration and benefits area, including administrative tasks required for the annual salary review.
- Update and analyze daily staff attendance.
- Provide office support services in order to ensure efficiency and effectiveness.
- Assist managers and supervisors in preparing job description.
- Assist with all performance management activities.
- Handle all union correspondence and ensure harmony
- Organize Employee engagement programs
- Advises employees, suppliers and other third parties on adherence and implementation of policies.
- Assist with the drafting and implementation of policies and procedures.
- Assist with all HSE policies and procedures compliance.
- Assist in conducting quarterly departmental meetings
- Taking minutes at committee meetings
- compile data on staff performance evaluation
- Ensure processing and completion of all relevant forms upon appointment of new staff
- Conduct orientation for new staff
- Leave management
OTHER DUTIES AND RESPONSIBILITIES
- Assist with the planning and implementation of all employee programmes.
- Maintains and projects the Company’s professional reputation
- Assists in training new employees. Supports Department personnel as needed.
- Coordinates with related departments as required. Answers questions and provides assistance.
- Keeps management appropriately informed of area activities and of any significant problems.
- Attends and participates in meetings as required
- Typing, Filing and Managing diaries
- Responding to customer enquiries and complaints;
SUPERVISORY RESPONSIBILITIES
- Supervise the work of subordinates in the department to ensure they perform their work effectively.
- An interface between Manager and clients
GENERAL DUTIES
Any other duties that may be assigned.
KEY PERFORMANCE INDICATORS
- Effective functioning and management of human resource information system
- Personnel data and statistics are efficiently recorded, stored, and retrieved as appropriate.
- Strict adherence to HSE rules and regulations.
- Timely filing of vacancies
- The time frame from receipt of documents until data entry and filing is made – 2days.
- Accurately prepare and submit all reports on time – 100% compliance
- Timely and accurate submission of reports on staff attendance.
- Ensures that there is a healthy industrial atmosphere.
- Accurate compilation of data on staff performance evaluation
- Ensures prompt and accurate recording of staff data and all other information relevant upon engagement
- Ensures processing and completion of all relevant forms upon appointment of new staff.
- Well Conducted orientation for new staff
- Accurate management of leave data
- Timely Responding to customer enquiries and complaints;
- Keep superior well informed.
