Job Description

Reporting & Dynamics
  • Reporting to: CEO/COO Leading
  • Internal Dynamics: CEO, BUs’ Country Mgs, HO & BUs’ Finance team, BU’s Logistics Officers & Store Mgrs. External Dynamics Lawyers, suppliers, recruiters, service providers.
Basic Responsibility
Collaborate with HR to maintain policies as necessary. Manage executives' schedules, calendars and appointments. Manage relationships with vendors, service providers …Manage legal contracts. Perform review and analysis of special projects and keep the management properly informed. Ensure security, integrity and confidentiality of data.
 
Accountability & Responsibility 
Scope of Accountability
  • Ensure group corporate governance is maintained at highest standard, act as liaison with the board of directors to ensure protocol compliance
  • Organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency and safety.
Main Responsibilities 
Duties include, but are not limited to the following:
A. Assisting the CEO and COO
  • Manage the agenda of CEO and COO in terms of meetings, travel itinerary and appointments 
  • Prepare the expense and travel reports of the CEO and COO
  • Handle the personal taxes of the CEO
  • Assist in the presentations and submissions to the board or any relevant party 

B. Compliance and Legal

  • Follow up the execution of board directives and agreements
  • Ensure group corporate governance is maintained at highest standard
  • Review and draft contracts and agreements with suppliers, creditors, customers …
  • Oversee the HR handbook 
  • Insure the proper implementation of information map on the drive in terms of completeness and security 
  • Implement the record keeping policy and update regularly 
  • C. Back office management (Lebanon)
  • Manage the upkeep of Lebanon office 
  • Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time
  • Manage the expats tasks in terms of travel, vacation and files 
Key Performance Indicators
  • Optimise office costs 
  • Ensure proper information library across the group  
  • Ensure proper and timely implementation of board directives

Required Skills or Experience

Education 
Bachelor degree or equivalent in business law
 
Experience
10+ years of experience in similar role
 
Technical Competencies 
  • Knowledge of office management responsibilities, systems and procedures
  • Excellent time management skills and ability to multi-task and prioritise work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Office
  • Knowledge of human resources management practices and procedures
  • Knowledge of business and management principles
