Job Description

ABOUT THE ROLE

The Facilities and Assets Manager leads the facilities and assets management services for the Group. The job holder will be responsible for delivering superior and efficient services by leading and managing a diverse team in the area of facility maintenance, security services, fleet, logistics, and other assets management.

ESSENTIAL DUTIES & RESPONSIBILITIES
Core Facility Management

  • Plan and coordinate all planned preventive maintenance, reactive maintenance, installations, and refurbishments of working assets.
  • Maintain accurate records of planned maintenance and statutory inspections
  • Document and track the progress of facility projects, recurring issues and long-term repair issues
  • Conduct regular key inventories and maintain appropriate records.
  • Oversee and agree contracts and providers for services including security, cleaning, catering, and so on
  • Manage projects, supervise and coordinate the work of contractors for all planned and reactive maintenance and small project works.
  • Manage the security, catering, cleaning, and other contractors to ensure objectives are being met for the provision of those services.
  • Assist in planning for future development in line with strategic objectives
  • Manage and lead change to ensure minimum disruption to core activities.
  • Direct and plan essential services such as, security, transport, maintenance, cleaning, waste disposal and recycling.
  • Ensure that basic facilities, such as water, electricity and cooling, are well-maintained.
  • Allocate and manage space.
  • Ensure the maintenance of an attractive and safe working environment
  • Ensure that the Company always remains compliant with relevant statutory responsibilities.
  • Liaise with external bodies as appropriate (Ghana Fire Service, Ghana Police Service, Environmental Protection Agency, the Municipal Assemblies etc)
  • Ensure the development and maintenance of accurate records of facilities, assets and equipment.
  • Supervise the acquisition, allocation, transfer, and disposal of company assets
  • Oversee the transportation of persons , goods and services per established Service level agreements
  • Conduct investigations, draft reports and make written recommendations.

Operational efficiency

  • Use performance management techniques to monitor and demonstrate achievement of agreed service levels and to lead on improvement.
  • Develop and lead plans for ensuring that the company uses resources in an efficient and sustainable manner including energy and water.
  • Check that agreed work by staff or contractors has been completed satisfactorily and following up on any deficiencies.

Supervise Personnel

  • Establish annual goals and objectives for the unit and team.
  • Supervise multi-disciplinary teams of internal and outsourced staff including cleaning, maintenance, grounds, and security.
  • Lead the team and ensure effective working relations.

HEALTH SAFETY AND ENVIRONMENT DUTIES & RESPONSIBILITIES

  • Ensure that the buildings and equipment both on-site and off-site meet health and safety requirements
  • Ensure the resolution of hazards within agreed timelines
  • Report on transport and maintenance activities monthly

As a Safety Committee representative for your department, you will also undertake the following duties:

  • Review all incident reports and ensure all corrective actions are carried out on time.
  • Routinely conduct inspections of the workplace and forward all identified hazards or instances of nonconformities to their HODs.
  • Receive complaints and pass them on to their HODs for redress.
  • Help HODs formulate corrective measures to prevent recurrence of injuries, near-misses, accidents, and property damage during incident investigations.
  • Identify unsafe work practices and conditions and suggest recommendations to their HODs.
  • Regularly educate staff on HSE issues and promote Health and Safety among staff
  • Ensure that major outcomes of committee meetings are made available to all staff members.
  • Continually interact with employees on HSE issues to ensure that the opinions and expectations of employees are well represented and addressed during committee meetings.

COMPENSATION: Competitive

Required Skills or Experience

  • A degree or equivalent in Engineering, Facilities Management, Project Management, Real Estate Management, or other relevant degree-level qualification
  • Minimum 5 years’ experience of working in a facilities management or engineering project management role, within a medium to large organization, including line management responsibility for a multi-skilled team.
  • Experience working in an environment compliant to health and safety and statutory standards. Experience in working with ISO 140001 or ISO 50001 management systems is an advantage.

KNOWLEDGE, SKILLS & ABILITIES

  • In-depth knowledge and experience in facility or engineering project management
  • A working knowledge of Occupational Health and Safety; understanding the organization’s OHSE and EMS policies
  • Ability to work in compliance with OHSE and EMS policies
  • Communication and influencing skills, in person and in writing
  • Analytical and problem-solving skills
  • Good decision-making skills
  • Ability to lead and manage teams and projects.
  • Ability to see the implications for the bigger picture.
  • Proactive with a high level of initiative, capable of identifying new work and improvements independently.
  • Commercial awareness and good customer service
  • Organisation, time management, prioritizing and the ability to handle a complex, varied workload.
  • A good knowledge of IT
