Job Description

PURPOSE OF THE JOB 

  • To effectively plan, schedule, execute and control all fleet issues with the fleet manager concern
  • To monitor, coordinate and control with all workshops pertaining all fleet request
  • Always have a backup solution (Contingency) for all forms of logistics required by the internal staff.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
  • Assist in managing all fleet vehicles nation wide
  • Assist in managing all rental vehicles.
  • Remotely manage all company workshop
  • Preparing of weekly and monthly workshop reports
  • Prepare vehicle accident and incident reports
  • Assist with fuel analysis
  • Handling of Tom cards
  • Implementation of Transport policy approved by management.
  • Assist all drivers with basic vehicular issues
  • Assist drivers with all police related issues
  • Monitoring expiration of company vehicle insurances/road worthy etc
  • Data on company vehicles and corresponding user
  • Monitoring due dates for vehicle servicing.
  • Timely response on issues on Fleet request
  • To ensure that all fleets vehicles documents are of good standing
  • Track vehicle movements.
  • Ensure observance of road safety standards; ensure project vehicles are used in accordance with established rules and regulations and that vehicle usage data is correctly recorded.

OTHER DUTIES AND RESPONSIBILITIES

  • Managing delivery timetables
  • Looking at ways to improve logistics and procurement as a whole
  • Monitoring performance of the all drivers and workshop
  • Manage relations with vehicle rental vendors
  • Comply with SHERQ policies and procedures;
  • Take personal responsibility for your Health and Safety and others within the company;
  • Ensure not to put other people, fellow employees and members of the public at risk by what you do or do not do in the course of your work.
  • Participate in inspections and investigations of accidents;
  • At all-time wear Personal Protective Equipment (PPE) as needed or required;
  • Not to operate any machinery or equipment without receiving the proper instructions;
  • Always report all accidents, near misses, injuries or symptoms, no matter how minor, immediately or within 12 hours to your manager or supervisor so that they can work with you towards prevention of reoccurring;
  • Encourage co-workers to work Defensively and Safely;
  • Report any unsafe acts or conditions to your manager or supervisor, and also on the requisite forms such as google reporting platform via the link provided where this is applicable and wherever possible remedy those conditions to ensure that no one gets hurt;
  • Always check that guards and safety devices on equipment are used as instructed;
  • Maintain equipment in good and safe working order;
  • Adhere to all safety rules and regulations;
  • Assist in the creation of a safe work environment by recommending actions that will improve the effectiveness of the SHERQ program.

SUPERVISORY RESPONSIBILITIES

  • Supervise drivers (both rental and company)
  • Oversee all jobs linked to logistics and procurement to ensure they are carried out effectively
  • Be an interface between fleet manager and all fleet clients

​GENERAL DUTIES

  • Any other duties that may be assigned.

KEY PERFORMANCE INDICATORS

  • Good negotiations with supplier’s
  • Timely Loading of Tom Cards
  • Timely submission of Reports
  • Accurate data submission on Fleet NOC
  • Minimal record of violations
  • Timely reporting and attendance to transport issues
  • Timely processing and distribution of car stickers
  • Accurate data on company vehicle and its users
  • Timely response and resolution to fleet issues.

Required Skills or Experience

  • HND/ Degree in Logistics /or supply chain management
  • Minimum of 2–3 years experience

KNOWLEDGE

  • Knowledge of Computer and Computer applications.
