Job Description

Background

WaterAid Ghana (WAG) is an international Non-Governmental Organization (INGO) dedicated to the provision of Water and improved sanitation and hygiene conditions for deprived communities in Ghana. WAG works with local partner organizations that carry out the day-to-day management of community projects in various parts of the country.

The Assignment

The scope of the Contract shall include but not be limited to the following:

  • Cleaning of office space, desks, meeting rooms, floors, and common areas.
  • Cleaning of all windows bathrooms and their fixture,
  • Internal Waste management:
  • Discard food wrappers, unwanted food, perishables that are expired, and more.
  • Clean utensils and dishware
  • Clean all exterior walls and ceilings of the buildings
  • Keep the terraces and walls clean.

a)Offices & Reception

  • Daily sweeping, mopping, and removal of rubbish from all office and sanitary areas, clean kitchen, and empty bins.
  • Dusting, and cleaning furniture, glass windows, and skirting boards
  • Support with setting up the conference rooms anytime for different meetings. The assigned staff will be required to liaise proactively with Front Desk Assistant to do the required setup and make the required arrangement for the meeting on time.

b)Washrooms

  • Daily cleaning and disinfection of water closet and wash basins:
  • Replenished Supplies, including toilet paper, paper towels, liquid soap, toilet disinfectant, etc, timely

c. Office compound

  • Ensure the office compound is kept clean always.
  • Ensuring washrooms are well maintained and cleaned throughout.
  • Ensure health and safety principles are adhered to anytime

Supplies and equipment

The Service Provider will provide all equipment, such as environmentally friendly cleaning supplies required for carrying out the work i.e. Gloves, brooms, mobbing stick soap for cleaning. etc.

WaterAid Ghana will provide the following supplies:

  • Disinfectant, Toilet roll, paper towels, hand washing liquid soap, (detergents for the floors and kitchenettes,).
  • Stores will be provided to the Service Provider for storage of cleaning supplies.

Work schedules:

  • Cleaning personnel is to report for duty at 5:30am (Monday to Friday). Cleaning should be completed by 7:45am.
  • Lunch hour is from 12:30 pm to 1 pm. Cleaning Personnel is required to clean the kitchen after staff lunch.
  • Except statutory holidays, it may be required for cleaners to stay behind until all daily duties are completed.

Safety and Security:

  • The outsourced personnel will be working in the WAG premises for the cleaning of the office space. The Service Provider will have to provide security clearance/character certificate from local police authorities of all staff selected to deliver services at WAG-premises. A copy of the National Identity Card along with the photograph will also be provided for the records.
  • The security rules are to be always observed.
  • Smoking and use of alcohol and illicit drugs in WAG’s premises is strictly prohibited. Violation of this requirement will result in immediate cancellation of the agreement with the company.

Duration of contract and annual performance evaluation

The contract will be initially for 1 (one) year with the possibility of renewal, subject to satisfactory performance evaluation.

Cost

  • Provide fixed price quotation for the duration of the contract.
  • Cost must be quoted in Ghanaian Cedis

Premises:

All invited parties interested are welcomed to make a visit to the office to assess the premises prior to submitting an offer.

Required Skills or Experience

Team leader/Supervisor experience/competencies:

  • The team leader/supervisor should have a minimum SHS qualification, a minimum of 3 (three) years of office cleaning services supervisory experience. (CV with relevant experience qualifications should be attached)
  • Personal hygiene training and certification
  • Safety, Health and Environmental (SHE) consciousness, especially with the use of cleaning and other chemical agents in office environments

Qualification of the cleaning personnel’s

  • JHS minimum qualification
  • Skilled and experienced in delivering high quality cleaning services complying to the utmost standards of high-end premises, buildings, condominiums, apartments, and offices
  • Knowledgeable in, and has a basic sense of aesthetics
  • Client-service oriented and client satisfaction conscious.
  • Personal hygiene training and certification
  • Safety, Health and Environmental (SHE) consciousness, especially with the use of cleaning and other chemical agents in office environment.

General qualification for all personnel

All personnel should:

  • Be able to effectively understand and carry out rules, orders, and instructions.
  • To be discreet as far as possible, and respectful of the work that is being carried out
  • Physically and mentally fit to efficiently and effectively perform the daily services required. Cleaning personnel proposed must undergo a medical check-up and be certified as physically fit to perform the duties;
  • Be healthy as proven by periodic medical exams, performed by a licensed local hospital. All personnel should receive personal hygiene training before they start employment
  • The cleaning company shall be responsible for transportation of its personnel from /to WAG Premises;
  • Thorough attention must be given to good appearance and presentation of the clpeaning personnel
  • Cleaning personnel must wear uniforms with Company logo/insignia always and should be equipped with necessary equipment to undertake cleaning.
  • In case of change of personnel, the service provider must inform WAG to obtain a prior approval on eligibility and suitability of the new personnel.
  • The Service Provider should provide a gender-balanced (male/female) quota of staff.
