Job Description

Our client, a global health Non-Governmental Organization with the aim of improving the health of people in developing countries is seeking to hire a responsible HR/Administration Manager to support their operations in Ghana.

ROLE PROFILE

The selected candidates will develop policy, direct and coordinate human resources activities, such as employment, compensation, labor relations, benefits, training, and employee services.

DUTIES

HR

  • Analyze wage and salary reports and data to determine competitive compensation plan.
  • Write directives advising department managers of Company policy regarding equal employment opportunities, compensation, and employee benefits.
  • Consult legal counsel to ensure that policies comply with the Ghana Labor law.
  • Develop and maintains a human resources system that meets senior management information needs.
  • Oversee the analysis, maintenance, and communication of records required by law or local governing bodies, or other departments in the organization.
  • Identify legal requirements and government reporting regulations affecting human resources functions and ensures policies, procedures, and reporting are in compliance.
  • Recruit, interview, test, and select employees to fill vacant positions.
  • Plan and conduct new employee orientation to foster positive attitude toward Company goals.
  • Keep records of benefit plans participation such as insurance and pension plans, personnel transactions such as hires, promotions, transfers, performance reviews, and terminations, and employee statistics for government reporting.
  • Advise management on appropriate resolution of employee relations issues.
  • Respond to inquiries regarding policies, procedures, and programs.
  • Administer performance review program to ensure effectiveness, compliance and equity within organization. Administers salary administration program to ensure compliance and equity within organization.
  • Administer benefits programs such as life, health, and dental insurance, pension plans, vacation, sick leave, leave of absence, and employee assistance.
  • Investigate accidents and prepares reports for insurance carrier.
  • Conduct compensation surveys within labor market to determine competitive wage rates.
  • Prepare budget of human resources operations.
  • Prepare employee separation notices and related documentation, and conducts exit interview to determine reasons behind separations.
  • Prepare reports and recommend procedures to reduce absenteeism and turnover.
  • Represent organization at personnel-related hearings and investigations.
  • Contract with outside suppliers to provide employee services, such as temporary employees, search firms, or relocation services

ADMINISTRATIVE

  • Managing filing systems
  • Developing and implement new administrative systems, such as record management
  • Recording office expenditure and manage the budget
  • Maintaining the condition of the office and arranging for necessary repairs
  • Overseeing the recruitment of new staff, sometimes including training and induction
  • Ensuring adequate staff levels to cover for absences and peaks in workload, often by using temping agencies
  • Delegating work to staff and managing their workload and output
  • Implementing and promoting equality and diversity policy
  • Reviewing and updating health and safety policies and ensuring they are observed

 SUPERVISORY

  • Provide management with direction and counseling.
  • Supervise the front desk and temporary staffing as needed

Required Skills or Experience

  • Bachelor’s degree in Human Resource/Business Administration with professional certificate
  • Master’s degree is an added advantage
  • 5- 8 years’ experience playing similar role

REQUIREMENT

  • Excellent communication skill (oral and written)
  • Good interpersonal skills
  • Must have organizational and coaching skills
  • Ability to maintain confidential information
  • Ability to take initiatives
  • Experience in defining, implementing and managing HR policies and procedures
  • Must be able to use HR systems like oracle, SAP
  • Good computer skills
  • Must possess good problem solving and conflict management skills
  • Good knowledge about the labor law
  • Must be able to use a range of office software, including email, spreadsheets and databases
