Job Description

  • Department/Team Procurement & Materials Mgt. Level: Middle
  • Reports To: Finance Manager
  • Directly Supervises: Warehouse Utility Workers

Purpose:

  • Develops inventory management strategy through processes and systems with the aim of controlling costs, generating savings and rationalizing inventory
  • Tsupervise and coordinate the activities of staff engaged in inventory management and tensure thatoptimum levels of inventory is maintained in line with quality standards.

Roles & Responsibilities:

  • Maintains records of movement of items from in and out of the warehouse tensure accuracy and completeness
  • Be responsible for entries, issues and consumption on HIS for all goods
  • Undertakes reconciliation of physical stock against records in the HIS system and determines the root cause of discrepancies found
  • Be responsible for overseeing the arrangement of goods in an orderly manner within the stock location system for easy storage and retrieval
  • Be responsible for the physical protection of the stocks in the warehouse
  • Prepare periodic reports on inventory receipt and consumption.
  • Works with procurement office tperform stock taking and confirms the periodic stock on a regular basis as defined by departmental protocols
  • Supervises the offloading process (in line with approved procedures) and the subsequent arrangement of such deliveries for easy identification and accessibility
  • Complete Goods Received Note with the procurement officer sand designated dept heads
  • Ensures the timely and correct valuation of the inventory
  • Assists the Procurement Officer with input in preparation of annual budgets
  • Coordinates the monthly departmental inventory and stock take for appropriate actions
  • Updates and publishes goods in store for departmental heads
  • Serves as the key panel member for all affiliates committee on Inventory and Material management
  • Be responsible for distribution of requested items tand from the stores
  • Writes and updates periodically the protocols tmeet the changing needs of the hospital
  • Assists Procurement by recommending disposal of unserviceable stocks.
  • Assists the Finance Office with transaction entries on the system
  • Responsible for asset coding, tagging and updating the register on the system
  • Follows up on accounts receivables
  • Performs any other duties that may be assigned

Health and Safety Responsibilities

  • Ensures personal safety as well as that of other staff working within the office.
  • Promotes adherence thealth and safety policies, guidelines and protocols across the Hospital.

Quality Assurance Responsibilities

  • Ensures quality assurance systems are in place for monitoring quality and for investigating incidents and
  • Complaints in the department/unit.

Job Description:

Departmental Relations/Communication:

  • Maintains contacts with all departmental heads on in coordinating all inventory activities
  • Fosters good communication and team working relationships within the various departments
  • Participates and makes contributions at staff meetings
  • Participates in multi-professional meetings and conferences as required.

External Relations:

  • Liaises with the other agencies on inventory improvement management systems

Responsibility For Assets/Tools:

  • Has responsibility for maintenance of corporate confidential information
  • Has responsibility for conservation and efficient utilization of computers and other assigned officeequipment for the department
  • Responsible for the all items in the stores

Required Skills or Experience

  • BSc in Procurement & Materials Management
  • A minimum of Three (5) years working experience at Middle level supervisory position
  • Knowledge of the Procurement Act of Ghana
  • Evidence of Leadership and Continuous Professional Education

OR

  • HND in Procurement & Materials Management
  • A minimum of Five (5) years working experience at Middle level supervisory position
  • Knowledge of the Procurement Act of Ghana
  • Evidence of Leadership and Continuous Professional Education

Personality:

  • Demonstrated Leadership skills
  • Excellent Communication Skills (Written and Oral)
  • Ability to undertake Clerical and administrative work with good numeric skills
