Job Description

Roles & Responsibilities will include but are not limited to:

Rig Import& Export:

  • Responsible for general Rig Import & Export procedures / requirements, in conjunction with Operations, Finance and other department verticals.
  • Responsible for liaising with local agents for the import/export of Rig including materials and equipment on board and ensuring the Customs/Forwarding Agent has all correct documentation.
  • Responsible for setting up base office and organising apartments/cars and other related supported services.

Personnel:

  • Liaising with Aberdeen HR on all issues relating to Crew Change/Visas/Work Permits/Travel for all Stena & Stena 3rd Party Personnel., Interface with local labour vendors on all matters relating to the supply of local labour with assistance from Aberdeen recruitment department and in compliance with recruitment procedures and approvals.
  • Coordinate and attend all rig medivac’s/casevacs in conjunction with ISOS and HR Department ensuring that the HR Manager & Supervisor are informed in a timely manner. Where applicable obtain approval for medical treatment/hospitalisation repatriation where necessary.
  • Arrange meet and greet service, transportation and hotel accommodation as required, for all Stena and Stena 3rd Party service personnel joining/departing the rig.
  • Coordinate crew changes with the Client or Agent for all local labour and catering contractors.

Purchasing:

  • Develop/Identify local supply opportunities and add to Stena Approved Vendor List on approval from the Procurement Manager.
  • Purchase/rent requisitioned items/services required locally utilising Stena Drillings procurement system ensuring compliance with Stena Procurement procedures as requested.
  • Invoicing/Local Purchasing – responsible for receiving local orders within Stena procurement system and timely processing of all local invoices after approval by Rig Manager.
  • Maintain records and monitor stock movements from vendors to the rig via tracking system.
  • Assist Rig Manager in preparation of shore base budget as required

Logistics & Materials:

  • Prepare and provide all manifests to and from the rig and maintain good record of such transactions.
  • Maintain records and monitor rig equipment sent for repair/refurbishment from the rig to vendor/suppliers via tracking system.
  • Prepare and provide all export documentation such as manifests, commercial invoices and proforma invoices and maintain import/export documentation library of all such transactions.
  • Ensure all cargo carrying units are fit for purpose and lifting slings certification maintain in date.
  • Coordinate and provide assistance to Catering Contractors with regards to importation and delivery of supplies to the rig
  • Manage and maintain the supply base/warehouse tracker and ensure all tools, equipment and materials are stored in a correct and safe manner.
  • Conduct regular Shorebase material physical count against tracker and identify surplus equipment/material for possible sale or scrap.
  • Conduct offshore rigs visits to assist offshore personnel and conduct material audits as directed.

Finance & Administration:

  • Liaising and interfacing with Accounts and Procurement Departments.
  • Submit to Aberdeen Accounts department a monthly reconciliation of petty cash expenses.
  • Liaising and interfacing with Rig Manager on all local/base office matters.
  • Ensuring the smooth flow of all documentation between base office and Stena Drilling Ltd global hub and all other functions associated with the Base Manager role.
  • Dealing with all administrative matters at the unit base.
  • Responsible for day to day efficient running of the Base Office, purchasing of consumables and rental of all office equipment. Recruitment of local base staff with assistance from the Aberdeen recruitment department and in compliance with recruitment procedures and approvals.
  • Working in accordance with the Company’s objectives and procedures.
  • Any other reasonable task as set by relevant department heads.

  • Must be fully committed to preventing damage to the Environment and shall work in accordance with Stena Drilling’s HS&E Policy and Procedures.

  • Any relevant industry training as required

Required Skills or Experience

  • Excellent Microsoft Packages knowledge
  • Ideally hold a degree in business management
  • Previous experience in a similar role
  • 10 years relevant experience
  • Previous experience in a similar role working for a drilling contractor
  • Previous experience / knowledge working with drilling vessel equipment
