Scope:
The Administration & Finance Manager is responsible for overseeing the administrative, accounting, financial and budgetary management of the organization. The role ensures the accuracy and reliability of financial information, compliance with applicable legal, tax and social obligations, and adherence to the Group’s internal policies and procedures. The Manager also serves as a key advisor to General Management, providing timely financial analysis, guidance, alerts and decision support to facilitate sound business decisions and effective organizational management.
MA1: Accounting and Financial Management:
Supervise the regular maintenance of general, analytical and subsidiary accounting.
Ensure the reliability of accounting entries and postings.
Monitor cash, bank and treasury operations.
Monitor customer, supplier and general ledger accounts.
Supervise bank reconciliations and account matching.
Prepare periodic accounting statements and financial statements.
Participate in monthly, quarterly and annual closing activities.
Ensure the proper accounting of fixed assets, provisions and accrued expenses.
MA2: Budget Management and Reporting:
· Develop, monitor and analyze the annual budget in coordination with Management.
· Produce financial dashboards and periodic reports.
· Analyze variances between forecasts and actual results.
· Propose corrective actions to improve financial performance.
· Monitor profitability, cost and cash flow indicators.
MA3: Cash Management:
Monitor cash flow daily and anticipate financing needs.
Plan disbursements and receipts.
Ensure payment deadlines are met.
Monitor customer receivables and participate in collection efforts.
Manage relationships with banks and financial partners.
MA4: Administrative Management:
Supervise the filing, archiving and retention of administrative, accounting and financial documents.
Ensure compliance with internal administrative procedures.
Monitor contracts, insurance policies, agreements and administrative files.
Participate in personnel administrative management in coordination with the HR Department, as needed.
Ensure the compliance of the Company's administrative files.
MA5: Tax, Compliance and Internal Control:
Ensure compliance with tax, social and regulatory obligations.
Supervise tax and social filings within required deadlines.
Ensure the application of internal procedures and internal control rules.
Identify financial, administrative and operational risks.
Alert Management to any anomaly, irregularity or risk situation.
Participate in internal and external audits.
Implement recommendations resulting from controls and audits.
MA6: Management and Coordination:
Supervise, organize and control the work of the administrative, operational and accounting team,
Allocate tasks and monitor the execution of assigned duties.
Support the skills development of team members.
Monitor personnel contracts and ensure compliance with applicable legal provisions and the Group's current internal procedures..
Qualification and Experience:
Masters/ Bachelors degree in Finance, Accounting, Management, Audit, Management Control or equivalent.
Minimum of 5 years in an accounting, financial or administrative role, ideally with supervisory experience.
Technical competencies
Proficiency in general, analytical and budgetary accounting.
Good knowledge of taxation, labor law and regulatory obligations.
Proficiency in accounting closing procedures and financial statement preparation.
Good knowledge of management tools, accounting software and ERP systems.
Proficiency in office tools, particularly Excel.
Ability to develop and analyze budgets, reports and dashboards.
Good knowledge of internal control procedures.
Ability to analyze financial and administrative risks.
