Job Summary

The Administration & Operations Officer is responsible for managing office systems, coordinating operational activities, supporting HR functions, and ensuring compliance with internal policies and procedures.

This role provides structural and administrative support across the Centre, ensuring smooth workflow, effective communication and operational efficiency. The Administration & Operations Officer will play a critical role in scheduling, staff coverage, timesheet management, client administration, documentation, facilities oversight, resource allocation, follow-up on organizational tasks.

Key Responsibilities

  • Oversee staff scheduling, coverage, and timesheet management.

  • Coordinate client administration, documentation, and follow-ups.

  • Manage facilities, resources, and procurement processes.

  • Track expenditures, reconcile petty cash, and maintain asset records.

  • Support HR functions including recruitment, onboarding, and training.

  • Prepare reports, correspondence, and maintain filing systems.

  • Provide operational updates and escalate issues to Clinical Leads, HR Consultant, Accountant, or CEO as appropriate.

Qualification and Experience

  • Qualification or experience in Business Administration, Psychology, Counselling, Social Work, Public Health, Education, Behavioural Science, Communications, or related field (preferred).

  • Familiarity with clinical, educational or human-service work would be an advantage.

  • Minimum of 3 years’ relevant experience in an administrative or operational role.
