PURPOSE
To supervise all SEP activities of an area
MAJOR RESPONSIBILITIES
Branch visit:
Visit all the branches within the area every week.
Visit at least one group and reconcile passbooks while visiting branches.
Verify and sign off schemes of loans, weekly/monthly collections, cash certificates, physical cash, bank statements, DCR, cashbooks, bill vouchers approved by Branch Managers (BMs) during branch visits. If anomalies are found in the bills, he/she should ask for explanations from the Credit Officers (COs-SEP) and give appropriate advice for amendments. If major irregularities are found s/he should initiate appropriate actions.
Visit at least 3 current and 3 late overdue borrowers and ensure that overdue payments are retrieved from defaulted clients.
Analyze trend reports and give feedback to BMs and COs(SEP).
Review audit & monitoring reports and instruct COs(SEP) to prevent irregularities from repeating.
Review target and achievement reports and prepare plans to reach the target.
Document observations, comments and feedback in the feedback register and guide COs(SEP) to make follow-ups of those suggestions.
Ensure that Credit Officers and BMs are following up with the recovery of loans.
Check office documents:
Verify admission forms, leave applications, leave registers and movement registers.
Staff related:
Conduct regular meetings with all COs(SEP).
Ensure that all staff are abreast with operational procedures and Operational Manual.
Meet with COs(SEP)during field visits to discuss challenges.
Resolve staff issues if any, raise staff requisitions and propose staff transfer.
Provide guidance to the staff to improve performance.
Administrative:
Ensure good working conditions (neatness and cleanliness) of the office.
Maintain effective communication with local administration.
Conduct monthly staff meetings.
Initiate legal actions against corrupt staff through legal and compliance manager.
Take general supervisory roles for all programs operating in the Area.
Client Satisfaction and Outcomes management related:
Make sure all staff adhere to the code of conduct policy and treat clients respectfully.
Ensure best quality service to clients, at the field and at the branch offices.
Follow up client’s complaints/concerns/opinions on branch visits and take appropriate measures and recommend changes.
Review client’s poverty profile and geographic targeting to ensure that client targeting is aligned with BRAC’s mission.
Review client-level outcomes data periodically against targets and recommend changes as required.
Safeguarding responsibilities:
Establish a safeguarding culture across all levels of the programme by implementing the safeguarding policy.
Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
Responsible to ensure team members are appropriately trained, supported and have access to resources regarding issues that are identified and actioned in accordance with the safeguarding policy and procedure.
Follow the safeguarding reporting procedure in case any reportable incident takes place, encourage others to do so.
EXPERIENCE (Including sector/industry)
Preparations of cash and bank transactions, cash requisitions, cash certificates and bank reconciliation statements.
Knowledge in application Microsoft Word, Microsoft Excel.
Experience: At least 3-5 years of managerial experience working in microfinance/financial Institution.
KNOWLEDGE, SKILLS & COMPETENCIES
Knowledge of MS World, MS Excel
Effective communication, Writing and reporting skills in English
3-5 years’ working experience in a similar.
