Job Description

JOB SUMMARY
You shall be responsible for all administration aspects of the business, facilities, budget development and implementation and management of the administration department. You shall manage the accounts department, the human resource department and the IT infrastructure. You shall direct the company’s secretarial work and be in charge of annual audits and the management accounting.

You shall be in charge of collating and reporting on key performance indicators against the annual business plan and the annual budget to management and the board. You shall follow up on performance improvements and lead committees appointed to work on the continuous improvement of the company’s performance. You shall direct the Human Resource/Personnel department of the business including employee policy handbook, policy and procedure development and implementation of same, as well as follow up on succession plans. 

Job Duties and Responsibilities
General administrative tasks

  • Leads the development of the annual budget and directs monthly budget reports
  • Reports on budget relevant figures and KPIs and develops monitoring tools to ensure profitable operation of the budget
  • Follows up on performance improvement measures and related committees
  • Monitors budgets for contracts, equipment and supplies
  • Manages and coordinates administrative support services; facilities, record management, and other office support services including IT infrastructure.
  • Manages official company correspondence and public relation with external and government stake holders
  • Directs company secretariat
  • Factory Inspectorate
  • Reviews current processes and recommends procedural or policy changes to improve operations
  • Participates in management and union meetings
  • Development of corporate policies and procedures and oversee implementation of same
  • Achieves financial objectives by anticipating requirements; submitting information for budget preparation; scheduling expenditures; monitoring costs; analyzing variances.
  • Directs accounts department and ensures timely submission of management accounts and annual audits.
  • Monitors and manages insurance covers
  • Monitors public compliance, including all necessary filing with government agencies and follow up on audit scheduling
  • Monitoring of agreements with other parties

Relations with Ghana Free Zones Board (GFZB)
Handling of application procedure for tax and duty exceptions.

  • Filing of quarterly reports.
  • Public relations to GFZB and C.E.P.S.
  • Any other duties assigned

Required Skills or Experience

  • MBA or BSc in Business Administration, Finance Management or any related course
  • 2-5 years’ experience in similar position
  • Must maintain highest standards of professionalism, confidentiality, ethics, and integrity
  • Must be agile with use of numbers and attuned to financial analysis
  • Knowledge in the regulations (Labour Act 2003, IFRS, IAS7…) of the country
  • Must be team-oriented in dealing with multiple stakeholders and communication channels
  • Good Planning/Leadership skills
  • Working Knowledge of IT / ICT
  • Demonstrated ability to manage multiple tasks simultaneously, set priorities, identify and address problems, meet deadlines, and stay within budget
  • Proficiency with MS Office Applications
  • Strong interpersonal skills; a team player and independent worker
  • Demonstrated effective verbal and written communication skills
  • Pays attention to detail
  • Negotiating skills
  • Knowledge of cooperate governance
