Job Description

Our client, a very reputable supply chain logistics company in Africa, is currently looking to hire a competent and proactive Forwarding Assistant to support their operations here in Ghana.

Role Profile:

  • To manage the relationship between client, the company’s Ghanaian office and key staff of the company’s worldwide offices. To manage, train and coach suppliers, operational staff of clients and assume administrative responsibilities for company.
  • Duties & Responsibilities:
  • Monitor Service levels
  • Control, conduct and monitor Customer Service visits
  • Implement service and product improvements
  • Control quality of all documentation production and all invoicing prior to submission to client
  • Daily analyses of shipments on hand and identify problem areas before the client does
  • Manage customer communication and where possible handle most of the communication both verbal and written to key customers
  • Proactively respond to all customer queries
  • Prepare Standard Operating procedures with the key companies and revise them on a regular basis
  • Prepare Service Level Agreements
  • Review Service Level Agreements quarterly
  • Drive out service improvement and address all non- conformances on SLA measureable
  • Ensure that key Companies are receiving best possible market related air and ocean freight rates.
  • Identify problem rates to nominated management responsible for rate negotiations with the organisation
  • Analyse all aspects of service delivery and assist customers with analysis into all areas that can improve supply chain efficiencies and costs
  • Analyse volumes, modes, costs and efficiencies per route
  • Liaise and cooperate with SC division in suggesting, planning and rolling out supply chain improvements
  • Review options to obtain best consolidation and lead times per route
  • Improve lead times
  • Ensure all indents are loaded on Oscar
  • Ensure tracking of all indents are done on a regular basis
  • Monitor registration on files on compu-clear
  • Monitor customs clearance
  • Monitor templates for key clients
  • Check the invoices from break bulk and groupage depts.
  • Check Customer invoice
  • Check write offs
  • Assist with debtors queries
  • Attend to all client queries-Communicate with customer via Oscar or normal email. Transparent service, problem solving and Status reports

Required Skills or Experience

• Degree in Logistics, business administration or any related discipline
• 3 – 7 years’ experience in a similar challenging role, preferably in the Clearing & Forwarding industry

Requirements
• Must have knowledge on MS Office (Word & Excel) and be able to operate in MS Outlook
• Must possess excellent Relationship Management Skills
• Must possess advanced Import Airfreight and Sea freight skills
• Must possess International Forwarding experience and skills
• High levels of attention to detail and accuracy
• Must possess excellent communication skills (written and verbal)
• Must be able to copes with challenges and stress in a constructive manner
• Must maintain high ethical standards personally and professionally
• Must be able to co-operates and work effectively with others in pursuit of team goals
