Job Description

  • REPORTING TO: SENIOR ASSISTANT REGISTRAR (EXAMINATIONS AND HUMAN RESOURCE)
  • DEPARTMENT: REGISTRY

PURPOSE
The Examinations Officer under the direct supervision of the Senior Assistant Registrar (Exams and HR) shall be responsible for all the examination issues of the Institute.

Specifically, the Admissions Officer shall be responsible for;

  • Preparing the Academic Calendar of the Institute.
  • Preparing of all examination time tables of the Institute.
  • Preparing Examination Invigilation schedule for all examinations of the Institute.
  • Preparing Project Work Schedule for all programmes of the Institute and ensuring that all deadlines are adhered to.
  • Preparing lecture time tables, lecturers’ individual schedules and room allocation for all lectures during the semester.
  • Securing all examination scripts after the Academic Board has approved of the results and producing same upon request for Post Examination Moderation.
  • Standing in for the Programmes Coordinator if not available
  • Ensuring that all students do their academic registration and meet deadlines on semester basis.
  • Perform any other duties that will be assigned from time to time

DEPARTMENTAL/INTERNAL RELATIONS

  • Maintains contact with the Senior Assistant Registrar (Examinations and HR).
  • Maintains contact with students and lecturers for Project Work purposes.
  • Maintains contact with the Finance Office to get information on Students’ Course Registration

RESPONSIBILITY FOR ASSETS
Has responsibility for the utilization of the computers and accessories and other office equipment being used

Required Skills or Experience

COMPETENCIES EDUCATIONAL

  • A minimum of First Degree in any discipline. 
  • A minimum of 1 year working experience in a similar position in an academic institution

TECHNICAL
Knowledge of tertiary educational system in Ghana

PERSONALITY

  • Assertiveness
  • Good verbal and written communication skills
  • Ability to relate well with people at all levels
  • Ability to work with little or no supervision
  • Ability to take accurate initiatives without being prompted
  • High sense of discipline including honesty and integrity.

MANAGERIAL
Ability to plan, monitor and follow up on policies
