DOCUMENTATION OFFICER

APPLICANT WILL UNDERGO PRACTICAL TEST DURING SCREENING

PURPOSE OF THE JOB

The primary objective of this position is to assist the whole department in the production of Reports and collecting all project related documents for typical site files and handover documentation.

 ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Manage Project documentation execution.
  • Monitor and Control all aspects of internal and external project related documentation
  • Coordinate with Project Managers, Site supervisors’ daily activity and collection of information related to production of documents.
  • Record and maintain documentation register and transmittal reports.
  • Production of Picture reports, filling out project related forms and templates
  • Weekly reporting on current documentation status and activities
  • Production of company brochures and support on Presentations and slide shows
  • Understanding of company procedures with document control and issue
  • Pro-active approach to chasing information in order to complete project documentation.
  • Manage office requirements with regard to copying, printing and stationary requirements
  • Receiving weekly reports of inventory from warehouse manager
  • Assist the Netis AutoCAD Designers in the preparation for printing of design drawings and other design documentation.

Required Skills or Experience

  • College level certification for Microsoft Office: MS Word, Excel, Power point, Visio any DTP program experience is a plus.
  • College level qualification for English.
  • At least two years in production of technical documentation
  • Experience in telecom industry is a plus

KNOWLEDGE, SKILLS AND ABILITIES

  • Demonstrated sound knowledge of documentation management and distribution control requirements and practices, including the ability to develop and implement process improvements
  • Computer literate (Microsoft Windows & Microsoft office).
  • Have good interpersonal and negotiation skills.
  • Ability to work well under pressure.
  • Knowledge of Health, Safety and Environment (HSE).
  • Ability to resize and edit images ensuring minimal loss of quality and reduce file size
  • Ability to produce documentation to enable clearly defined formats and cross referencing such as tables of contents and layout control
  • Ability to carry out basic calculations on excel
  • Ability to take decisions in a pressure environment
  • A proven ability to exercise high levels of initiative and judgement in both an independent and team situation
  • High level of skills in the use of software tools and applications used in a documentation management/production environment
