Job Description

  • Answers the telephone and receives visitors to office, providing information as appropriate and/or referring calls/persons to appropriate staff members, other departments and agencies 
  • Manages appointments and provides administrative assistance to the Managing Director and other Senior Management Team members
  • Assists to plan and coordiante office support activities associated with a program area and record keeping system
  • Assist in preparing a variety of reports, documents, correspondence, transcribes, prepares circulate correspondence and memoranda
  • Supports in managing travels and itineraries
  • Performs related work as required

Required Skills or Experience

  • Strong interpersonal relationship
  • Easy to deal with and passionate about managing the front desk and office
  • Fair knowledge and skills in people management and development
  • Cultural sensitivity - is aware of and sensitive to different cultural values
  • Good writing, verbal and editing skills
  • Good problem solving skills and ability to work with little supervision
  • Ability to do multiple tasks with little difficulty
  • Good IT skills in Microsoft Word, Excel, Outlook and internet communications
  • Higher National Diploma in Secretaryship or Stenographer
  • Good work related experience
  • Experience of working for NGO's and knowledge of the development/human rights sector
  • Records management and basic book keeping
