Job Description

Our client, a multinational shipping company is looking to hire an efficient and proactive OFFICE MANAGER to help with their day to day operations.

Role Profile

The successful candidate will be responsible for the efficient functioning of the office through a range of administrative tasks.

Roles & Responsibilities

  • Point of contact for maintenance, mailing, supplies, equipment, and certain bills
  • Address employees queries regarding office management issues (e.g. stationery, lunch, health insurance and travel arrangements)
  • Organize and schedule meetings and appointments as appropriate
  • Liaise with facility management vendors, including cleaning, catering and security services
  • Responsible for creating PowerPoint slides and making presentations as appropriate
  • Manage Directors' schedules, calendars and appointments
  • Assist on special projects and keep the management properly informed
  • Plan in-house or off-site activities, like parties, celebrations and conferences
  • Monitor and maintain office supplies inventory and responsible for office supply acquisitions
  • Point of contact for all visitors and general inquiries
  • Maintain a safe and secure working environment
  • Handle adhoc responsibilities assigned

Required Skills or Experience

  • Degree in Business Administration or equivalent

Experience

  • Three years experience and relevant knowledge in Office Administration, Systems and Procedures

Relevant Skills

  • English, advanced level (written and spoken); Ability to speak French is an advantage
  • A creative mind with an ability to suggest improvements
  • Excellent time management skills and ability to multi-task and prioritize work
  • Strong organizational and planning skills in a fast-paced environment
  • Excellent command of spoken and written English.
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
