Job Description

Purpose of the Job

The Senior Accountant Receivable ensures process improvement recommendations and implementation and partnering with external departments to properly process invoices and payments, maintains customer files, and reconciliation of financial systems.

Essential Functions and Responsibilities

  • Start issuing proforma invoices through QB ERP system
  • Follow up to receive PO and record in QB ERP system
  • Follow documentation for the needed paper for invoice tracked with Project number
  • Issue the invoices for clients manually and create the detailed invoices through QB ERP system
  • Deliver invoices to the clients and get stamp from them and update the QB ERP system with invoices received date from client
  • Work to issue the due invoices and balances before it’s due with at least week from QB ERP system for Finance manager for planning
  • His target to collect invoices in time and follow all delayed balances
  • List of open POs or open Projects not invoiced yet – tracked with Project numbers
  • Issue all taxes types for clients and make sure from all deductions
  • Follow up the filing with the junior accountant
  • Train the Junior accountant
  • List of PO issued to clients from quick books to finance manager on every Friday
  • Balances for invoices which will due within week from now to finance manager on every Friday
  • List of confirmed and highly expected collection of invoice form clients to finance manager on every Friday

Other Duties and Responsibilities

  • Meet professional obligations through efficient work habits such as, meeting deadlines, honouring schedules, coordinating resources and meetings in an effective and timely manner, and demonstrate respect for others
  • Reconciles the accounts with O & M and makes sure it is balanced for every month and report to Finance Manager
  • Visits customers office, if necessary, to collect statements of accounts and reconcile the accounts on monthly basis
  • Updates Customer Status Reports on daily basis and maintains and follow up with customers for payment
  • Assist with developing How to Process documentation and departmental training guides to ensure proper cross training for business continuity purposes while still maintaining appropriate segregation of duties
  • Participate in continuous improvement activities to improve overall efficiency and effectiveness of financial transactions.
  • Any other duties as may be assigned by the Finance/Accounts Manager

Required Skills or Experience

Supervisory Responsibilities

  • Supervise the work of subordinates in the department to ensure they perform their work effectively.
  • An interface between Management and clients.
  • Supervises all staff with respect to Finance & Accounts processes and procedures.
  • Working independently or in a team under broad organizational guidelines to achieve unit objectives.

General Duties

  • Any other duties that may be assigned.

Key Performance Indicators

  • Daily and end of month data entry - 100% compliance
  • The time frame from receipt of documents until data entry is made – 2days.
  • The number of invoice prepared with error – 5% tolerable error
  • Time to resolve an error – 2days
  • Weekly follow up on customers for payments – 100% compliance.
  • Operating procedures must be followed – 100% compliance.
  • Operational reports – 100% compliance.
  • Submission of daily reports must be done at the close of business each day – 100% compliance.
  • Monthly report to be submitted on or before the 10th day of the following month – 100% compliance.

Minimum Requirements/Qualification

  • Minimum of Degree in Accounting or its equivalent.
  • Professional qualification or its equivalent will be an advantage.

Experience

  • Two (2) years’ experience in a similar position in the telecom industry.
  • Experience in working with and through people to establish goals, objectives, and action plans.

Knowledge

  • Knowledge in Quick Books software is preferred.
  • Knowledge and understanding of accounting and financial processes and procedures
  • Demonstrable financial skills
  • Competence in document preparation using MS Word, data collection and recording/presentation using MS Excel and competence in using MS PowerPoint for presentations and posters.

  • Ability to exercise independent judgment to adopt or modify methods and standards to meet assigned duties/objectives
