Job Description

OVERVIEW
A recognized security company is looking to employ an Office/Operations Administrator to oversee procurement of logistics and provide full administrative support to the Operations department and the office.

Reports to:

  • Operations Manager
  • Logistics Officer
  • Country Director

WHAT YOU WILL DO

  1. Process purchase requisitions/orders with purchasing authority
  2. Invite and assess quotations and proposals
  3. Establish and negotiate contract terms and conditions and maintain supplier relationships
  4. Prepare and maintain purchase records, operational records, reports, and price list
  5. Stock taking and planning
  6. Issue and maintain proper records of accoutrement to issue out to Supervisors and Guards
  7. Oversight of all Daily, Weekly & Monthly reports raised by Control Room, Operations and Finance Divisions
  8. Administering Operations Monthly Petty Cash
  9. Serve as primary liaison to all clients in Accra and addressing issues on their site
  10. Assist in investigations into incidences on locations.
  11. Assist the Operations Manager in undertaking various task including surveys, risk assessment.
  12. Preparing of Service Sheet for New Contracts
  13. Supervising of Issuing of ID cards to staff
  14. Checking and managing ECG bills and water.
  15. See in maintenance work in the office.
  16. Check MTN bills each month.
  17. Assist in other office duties.

Required Skills or Experience

  • Bachelor of Arts Degree in Administration, Management Studies, Human Resources or Procurement.
  • At least two (2) years post qualification working experience in a similar position.
  • Good working knowledge in ICT technologies (related software email, internet) and computer applications (e.g., MS Office).
  • Must be confident and proactive
  • Strong analytical skills
  • Ability to work under pressure and meet deadlines
  • Excellent teamwork and interpersonal skills
  • Ability to manage multiple projects at one time.
