Job Description

Fleet system coordinator is responsible for determining and communicating the repair needs of company fleet for maximum equipment life and minimal downtime as well as coordinating and prioritizing and scheduling fleet repairs and informing management of the progress of work. The fleet coordinator also ensures fueling is done within rules and regulations with no leakages and all vehicles are clean at all times.

He/ she ensures accurate data is available in the fleet system software with all soft copies of vehicle particulars and work done.


  • Takes customer to the vehicle to identify the existing irregularities and scratches and shows customers the special features of the vehicles
  • Checks mileage, fuel level and performs damage inspection when vehicles returns
  • Resolve problems such as arranging for road service/towing for customer’s or in cases of accident assist with replacement vehicles and insurance claim procedures
  • Ensure all vehicles are insured and in date as well as have all the documents to back including road worthy and data input into the fleet management software.
  • Ensure all chauffeur’s driving licensing are all in date and prompted when renewals are due
  • Ensure all vehicles are checked in and check out with the record of their fuel and mileage reading at each point and same information put into the system.
  • Deliver and pick up self-drive rental and perform check in and check out with the customer
  • Prepare fuel request for approval as required and return proof of completion receipts
  • Prepare weekly report for fueling
  • Ensure all vehicle tracking reports are submitted weekly and report any anomaly.
  • Report all maintenance issues to both fleet maintenance manager and General Manager as well as update the fleet system software with the information.
  • Ensure all cars are clean and ready to use at all times
  • Record the appropriate information about the vehicles into fleet management system as defined
  • Track vehicles whiles repairs/maintenance is performed and record work to be done in to the software.
  • Coordinate pick up and drop off of vehicle for needed maintenance or repair

RENUMERATION: Between GHS 1,500.00 and 2,500.00 net

Required Skills or Experience

  • Must possess a minimum of a diploma
  • Fleet coordination experience preferred
  • Strong judgement and quantitative decision making skills
  • Basic computer skills
  • Ability to communicate both verbally and in writing
  • Good interpersonal skills
  • Must have a valid driving license
