Job Description

RISE is a five-year global project funded by the U.S. President’s Emergency Plan for AIDS Relief (PEPFAR) and USAID—that works with countries to achieve a shared vision of attaining and maintaining epidemic control, with stronger local partners capable of managing and achieving results through sustainable, self-reliant and resilient health systems. The project is led by Jhpiego with the following partners: ICAP at Columbia University, Management Sciences for Health, Anova, BAO Systems, Johns Hopkins University Centre for Public Health and Human Rights, and Mann Global Health.

With funding from the U.S. Agency for International Development (USAID), RISE is working in selected countries, including Ghana, to address the COVID-19 pandemic. In line with ministry of health priorities, the project, is planning to rollout national vaccination plans, including ensuring health care workers are prepared to implement and monitor this plan; providing focused and clinically relevant capacity building for clinicians providing COVID-19 case management.

We are currently looking for dynamic individuals to fill the following position:  Program Assistant

  • Duration: 1 year
  • Reports to: Program Manager (LOX)

Scope of Work
The Program Assistant will help support the Program Manager to manage the administrative, financial, logistical, and programmatic tasks required for Oxygen projects under RISE. This includes assisting with program administration including scheduling meetings and preparing or editing program reports, and PowerPoint presentations.

Duties and Responsibilities

  • Provide administrative support in the design, implementation, and monitoring of Oxygen project activities.
  • Assist with preparing and monitoring project budgets.
  • Order training materials in coordination with the Program team leaders and ensure that training materials and supplies reach training sites in a timely manner.
  • Responsible for recording and disseminating program meeting minutes.
  • Ensure that required technical and administrative reports are submitted in a timely way.
  • Assist with organizing of meetings, field visits, and other activities.
  • Assist with maintaining the management calendar and keeping it up-to-date.
  • Assist with gathering technical updates for program planning, training, components of evaluations, and other studies on related programs.
  • Assist in preparation of monthly, quarterly, and annual work plans.
  • Assist with other programmatic and administrative duties as required.

Required Skills or Experience

  • A basic university degree in social sciences or a health-related field is required, and additional post-graduate certifications are an added advantage.
  • Self-management is necessary (i.e. motivation, dealing with pressure, adaptability).
  • Ability to communicate effectively, instilling trust and confidence.
  • Ability to handle a variety of different assignments sometimes under pressure of deadlines.
  • Be cooperative, competent, hardworking, flexible, and dependable.
  • Ability to coordinate information and logistics for programs and activities.
  • Good team player

Abilities/Skills: (action, i.e. negotiate, manage, exercise independent judgment, act as technical advisor, network, train, etc.)

  • A broad variety of programmatic, administrative, financial, and computer skills (including Word Access, Excel, PowerPoint, Outlook, and Access), which may need to be acquired through very quick learning.
  • Experience in team working and multicultural staff.
  • Excellent organizational skills.
