Job Summary
We are currently seeking a highly organized and detail-oriented Administrator/Operations Manager to join our team. As an operations Manager, you will play a crucial role in overseeing the administrative and operational functions of the company. Your responsibilities will include managing sales orders, coordinating logistics, maintaining accurate records, and ensuring smooth operations within the company.   • Manage and oversee the administrative and operational functions of the company.
  • Coordinate and process sales orders, ensuring accuracy and timely delivery to customers.
  • Collaborate with the sales team to ensure seamless order processing, addressing any issues or discrepancies that arise.
  • Maintain accurate records of sales orders, customer information, invoices, and payments in the company's database or CRM system.
  • Coordinate with the logistics team to ensure efficient product shipment, tracking, and delivery to customers.
  • Monitor inventory levels, coordinate with suppliers, and manage stock replenishment to meet customer demands.
  • Prepare regular reports on sales activities, order fulfilment, inventory status, and operational performance for management review.
  • Implement and improve administrative and operational processes to enhance efficiency, accuracy, and customer satisfaction.
  • Assist with pricing and quotation activities, ensuring accuracy and alignment with company policies.
  • Collaborate with finance and accounting departments to reconcile sales orders, invoices, and payments.
  • Support the sales team in preparing sales presentations, marketing materials, and product documentation.
  • Respond to customer inquiries regarding order status, shipment tracking, and other operational matters.
  • Handle customer complaints and concerns, providing timely resolution and ensuring customer satisfaction.
  • Collaborate with cross-functional teams, including sales, marketing, finance, and technical support, to streamline processes and improve overall company performance.
  • Stay updated on industry trends, competitor activities, and market conditions related to laboratory equipment sales.

Required Skills or Experience

  • Bachelor’s degree in business administration or a related field is preferred.
  • Proven experience in administrative or operations management roles, preferably in a sales-driven environment or laboratory equipment industry.
  • Strong understanding of sales operations, order processing, and inventory management.
  • Excellent organizational and time management skills with the ability to multitask and prioritize tasks effectively.
  • Proficiency in using CRM systems, databases, and other sales and inventory management software.
  • Strong analytical skills with the ability to analyze sales and operational data and generate meaningful reports.
  • Attention to detail and a commitment to accuracy in record-keeping and documentation.
  • Excellent communication and interpersonal skills, with the ability to collaborate with cross-functional teams and build positive relationships.
  • Problem-solving mind set with the ability to identify operational inefficiencies and propose solutions.
  • Knowledge of logistics and supply chain management principles.
  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team in a fast-paced and dynamic environment.
  • Flexibility to adapt to changing priorities and handle multiple tasks simultaneously.
