Job Purpose
The Appointment Setter plays a critical frontline role in generating qualified leads and scheduling meetings between potential clients and the sales or service team. This position involves making outbound calls, sending emails or messages, and following up on marketing campaigns to convert inquiries into confirmed appointments. The ideal candidate is persuasive, well-organized, and thrives in a performance-driven environment.
The role demands excellent communication skills, persistence, and the ability to handle rejection with professionalism. By bridging the gap between leads and decision-makers, the Appointment Setter ensures a steady pipeline of opportunities for business growth.
Role Responsibilities
- Appointment Setting: Schedule discovery and sales calls between qualified leads seeking BPO services (social media services, VA and back office support, customer and tech support) and the sales team.
- Diary & Calendar Management: Maintain and coordinate calendars for sales team members to optimize availability and minimize conflicts.
- Scheduling Tools: Utilize platforms such as Calendly and Google Calendar to streamline bookings.
- CRM Management: Maintain accurate and updated records using CRM systems such as Freshsales and HighLevel. Ensure lead data and activities are accurately captured, with regular updates and reporting.
- Lead Generation: Research, identify, and qualify potential clients through digital channels.
- Lead Qualification: Gauge interest, develop relationships and build trust with leads.
- Cold Calling: Proactively reach out to prospects across various time zones with a focus on value-based conversations to generate interest and set qualified appointments.
- LinkedIn Outreach: Use LinkedIn Sales Navigator and other LinkedIn tools for strategic prospecting and engagement of key decision-makers.
- Email & Messaging: Compose and send compelling, personalised outreach emails and LinkedIn messages tailored to various buyer personas in industries such as healthcare, technology, engineering and not-for profits.
- Inbox Management: Monitor and respond to messages across multiple email accounts, ensuring professional, timely communication with prospects and internal stakeholders.
- Stakeholder Engagement: Professionally liaise with C-suite executives, directors, and other senior-level professionals.
- Sales Collaboration: Work closely with the sales team to ensure alignment on target markets, messaging, and follow-up.
Corporate Responsibilities
- Assisting with the delivery of business and corporate plans for your area;
- Supporting continuous improvement in your own areas of responsibility;
- Taking a proactive approach to risk management, ensuring any risks and issues identified are addressed and reported and, where appropriate, escalated;
- Ensuring value for money and quality outcomes are achieved in all activities;
- Being fully aware of and compliant with the business policies and procedures relevant to your area of responsibilities and corporate policies and procedures, including the Staff Handbook, GDPR & Privacy Policies;
- Becoming a subject matter expert on the company’s business products, processes and operations and remaining up-to-date on industry news;

Required Skills or Experience
Skills & Qualifications
- 2+ years of experience in appointment setting, telesales, or lead generation, ideally in a BPO or outsourcing environment.
- Strong written and verbal communication in English.
- Proficiency with CRM tools like HubSpot or Salesforce.
- Familiarity with scheduling tools and professional communication etiquette across digital channels.
- Experience dealing with senior-level professionals in international markets
- Ability to work flexible hours to accommodate different time zones.
- Strong time management and multitasking skills in a remote work environment.
