Job Description

Role Description

This is a full-time on-site role for an Assistant Fleet Coordinator located in Accra. The Workshop Administrator will be responsible for overseeing and providing support for the day-to-day operations of the fleet management within our client’s office. The role will involve managing vehicle utilization, maintaining fleet, supervising drivers, client users & dispatchers, dispatching, and providing excellent customer service.

KEY RESPONSIBILITIES
Fleet Management Duties:

  • Receive, process, assign, and dispatch service requests by matching them to available drivers and vehicles.
  • Track and monitor vehicles and drivers to ensure timely and accurate execution of services.
  • Ensure all trips are logged with accurate opening and closing mileages, and that vehicle logbooks are properly maintained.
  • Coordinate and optimize the use of resources for operational efficiency.
  • Maintain and update daily operational records including service calls, vehicle usage, and driver activity.
  • Ensure compliance with contracts, regulations, internal policies, and safety standards.
  • Oversee vehicle maintenance schedules and preventive servicing; follow up on repairs and ensure vehicles are roadworthy.
  • Inspect vehicles before delivery to clients, ensuring all accessories and documentation are in place.
  • Ensure cleanliness, security, and proper day-today maintenance of all fleet vehicles.
  • Generate required reports and provide guidance and training to drivers as needed.

Client User/ Drivers Management:

  • Ensure drivers’ compliance with the internal
  • Driver’s Code of Conduct, HSE, and Road Traffic Regulations.

Required Skills or Experience

QUALIFICATIONS & EXPERIENCE

  • Candidate must have a minimum of HND/Diploma in relevant discipline.
  • Strong planning and organizational skills
  • Excellent time management
  • Proactive and ability to take initiative
  • Ability to handle pressure and tight deadlines
  • Appropriately assertive manner to deal with clients
  • Integrity, and confidentiality are very key in this role
  • Ability to work well with people are essential.
  • Excellent organizational skills to meet goals and set priorities
  • Familiarity with word processing and spreadsheet applications is beneficial.
