Summary
IPA Ghana seeks a Senior Human Resource Assistant to provide in-country support in the implementation and administration of Human Resource policies and procedures in the Ghana country office. The Senior Human Resource Assistant will report to the Operations Coordinator and will oversee activities related to recruitment, onboarding, off-boarding, employment contract renewals, performance evaluation, work permits, timesheet administration, HR database management and benefit administration.

Position Summary
The Senior Human Resource Assistant will will report to the Operations Coordinator and will perform the following responsibilities:

  • Coordinate the recruitment of both long- and short-term staff;
  • File all recruitment documents for long-term staff recruitment;
  • Prepare and file both short-term and long-term staff contracts;
  • Track employee contracts and contact information, and coordinate contract renewals;
  • Coordinate the onboarding of all long-term staff;
  • Coordinate probationary reviews, annual performance reviews, and annual performance planning for long-term staff;
  • Manage the HR database and ensure all employee records are filed properly;
  • Administer the timesheet system for local staff;
  • Oversee initiatives related to staff morale and well-being;
  • Support annual employee group insurance policy renewals; enroll new staff on health insurance and Workmen’s Compensation as well as WARA services.
  • Coordinate work permit applications, extensions of stay and non-citizen card applications for expatriate staff
  • Coordinate the annual updating of the Employee Handbook and other HR resources for local staff;
  • Work with the Operations Manager/Coordinator to create and continuously improve HR systems, tools and policies;

Required Skills or Experience

 

  • A Bachelor’s degree in Human Resource management, Business Administration or related field.
  • At least two years of working experience in a similar position, preferably in relation to administering HR procedures, work permit processing and employee benefits;
  • Outstanding interpersonal skills and ability to work effectively in a diverse team;
  • Effective oral and written communication skills;
  • General knowledge of the Ghana labour laws;
  • Able to exhibit high level of confidentiality;
  • Strong computer skills including proficiency in MS Word and Excel;
  • Attention to detail:
  • Excellent problem solving and analytical skills;
  • Curiosity and willingness to learn;
  • Demonstrated ability to prioritize tasks, work under pressure and meet deadlines, often with limited supervision;
  • Excellent management, communication and organizational skills, and ability to work independently;
  • Experience performing a similar role in an international NGO is a plus.
