Job Description

PURPOSE
To assist the Admin & Procurement Coordinator or his/her designee in carrying out his/her duties through the provision of efficient and effective administrative support for the realization of VISIONFUND GHANA’s objectives.

MAJOR RESPONSIBILITIES

  • Offer ideas to enhance the restructuring and administration of the Department.
  • Responsible that there is adequate stock of all office stationery at all times.
  • Responsible for organizing meetings, and workshops and taking minutes.
  • Relay information from Management to all Branches/Zones of VISIONFUND GHANA either by electronic mail, EMS, Phone Motorola, etc.
  • Maintain records in proper order for easy access and retrieval.
  • Respond to emails and requests promptly and properly.
  • Ensure that office furniture and equipment both at the Service Centre and the Branches/Zones are adequate and are regularly maintained.
  • Monitor the performance of outsourced service providers to ensure they deliver per their agreements.
  • Coordinates with the Procurement Committee and is ultimately responsible for ensuring that procurement processes are followed and well documented with the support of the Finance department.
  • Ensure that water, electricity, and telephone bills are paid promptly and that they function smoothly.
  • Ensure the office environment; (indoors/outdoors) lawns, hedges, and trees are regularly maintained.
  • Attend daily morning devotions and participate in the general spiritual life of the Institution.
  • Perform any other duties assigned from time to time by the Supervisor or her/his designee.

  • Must possess good interpersonal, communication, and organizational skills;
  • Dynamic, energetic, methodical, result-oriented, and with an eye for detail;
  • Positive-minded with high integrity
  • Knowledge of proper stock management;
  • Pleasant personality and be hospitable to all visitors;
  • Solid track record showing initiative and sound judgment.

DESIRABLE SKILLS

  • Must have good team spirit;
  • Ability to type with speed.
  • Must be courteous, dynamic, innovative, proactive and self-motivated;
  • Must be able to work effectively under pressure;
  • Must have good public relations and interpersonal skills: good personality and hospitable;
  • Knowledge of proper stock management;
  • Must be able to relate well with people from diverse backgrounds
  • Must be a practicing Christian

OTHER REQUIREMENTS

  • Must be computer literate;
  • Ability to drive with a valid license.
