Job Description

PURPOSE
The Office Assistant will support daily operations by performing physical office tasks, supervising cleaning staff, and ensuring the office premises are clean, organized, and functional. This role is critical in maintaining a professional and welcoming work environment that aligns with operational standards of the institution.
 
MAJOR RESPONSIBILITIES
Supervision & Coordination:
  • Supervise and coordinate daily activities of office cleaners.
  • Ensure cleaning standards are maintained in all areas, including offices, restrooms, and common areas.
  • Report any cleaning-related issues or maintenance needs to the Admin Manager.
Office Maintenance & Physical Tasks:
  • Assist with lifting, moving, and organizing office furniture, files, and equipment as needed.
  • Ensure meeting rooms and offices are arranged appropriately for meetings and daily use.
  • Support minor repair or maintenance tasks or coordinate with facility maintenance personnel.
Administrative Support:
  • Assist with letters & cheques handling, photocopying, filing, and basic office errands.
  • Monitor inventory of cleaning and office supplies; notify management when restocking is needed.
Health & Safety:
  • Ensure compliance with health and safety guidelines related to office cleanliness and hygiene.
  • Monitor and promptly address hazards such as spills, broken items, or obstructed exits.
Safeguarding Responsibilities
  • Establish a safeguarding culture across all levels of the programme by implementing the safeguarding policy. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
  • Responsible to ensure team members are appropriately trained, supported and have access to resources regarding issues that are identified and actioned in accordance with the safeguarding policy and procedure.
  • Follow the safeguarding reporting procedure in case any reportable incident takes place, encourage others to do so.

Required Skills or Experience

EXPERIENCE (Including sector/industry)
  • Minimum of SHS.
  • Previous experience in a similar role preferred, especially in a financial or corporate environment
KNOWLEDGE, SKILLS & COMPETENCIES
  • Basic knowledge of cleaning and safety protocols.
  • Physically fit and capable of lifting and moving moderately heavy items.
  • Good communication, organization, and time management skills.
  • Ability to work independently and as part of a team.
  • Trustworthy, punctual, and professional demeanor
