Established in 2005, Fairtrade Africa is the umbrella organization representing Fairtrade certified producers in Africa and is a member of Fairtrade International (FI). FTA aims to effectively represent producers within the International Fairtrade system and to contribute to the livelihood improvement of African and Middle Eastern producers by increasing access to markets. Established in 2005, FTA directs policy and strategic development of the organization, including its Secretariat in Nairobi and the four (4) regional offices. FTA works within the Fairtrade system to support over 1,055,000 farmers and workers in over 520 producer organizations spread over 33 countries to access better prices, decent working conditions, and fairer terms of trade
Fairtrade Africa is owned by its members, who are African producer organizations certified against international Fairtrade Standards producing traditional export commodities such as coffee, cocoa, tea, cut flowers, cane sugar, wine, cotton, bananas, mango, pineapples and non-traditional commodities including shea butter, rooibos tea, vegetables and fresh and dry fruits. Fairtrade Africa is made up of both Small Producer Organizations (SPOs) and Hired Labour Organizations (HLO). In HLOs, the focus is on supporting companies that employ hired labour to supply better working conditions for their workers while in SPOs the focus is on members who are smallholders who run their farms mainly using their own and their family labour.

TERMS OF REFERENCE (TOR)
PROVISION OF SERVICES FOR IMPACT DOCUMENTATION (SHORT VIDEOS AND PHOTOGRAPHY) FOR THE CIRCLE & KKCLMRS PROJECTS.
BACKGROUND
Established in 2005, Fairtrade Africa (FTA) is a member of Fairtrade International and the umbrella network organization representing Fairtrade-certified Producer Organizations in Africa and the Middle East. It has four (4) regional networks – Eastern & Central Africa; Southern Africa; West Africa; and the Middle East & North Africa. FTA currently represents over 1.4 million farmers and workers in over 660 producer organizations spread across 28 countries in Africa and the Middle East by providing services to them that contribute to the improvement of their livelihoods.
About Dignified Opportunities Nurtured Through Trade and Sustainability (DONUTS) Programme
DONUTS is a four-year human rights-based development programme with 13 projects in 6 product value chains (Coffee, Flower, Cocoa, Sugar, Vanilla, and Wine) in 7 countries in Africa (Kenya, Ghana, CDI, S. Africa, Madagascar, and Malawi); and a continental Human Rights and Environmental Due Diligence (#HREDD) dialogue project in specific value chains — flowers, cocoa and wine. DONUTS is financed by the Ministry for Foreign Affairs of Finland and several private sector companies.
DESCRIPTION OF THE PROJECTS
CIRCLE PROJECT
The Children are Learning and Empowered (CIRCLE) project seeks to ensure that children in the target 36 cocoa growing communities progressively benefit from an equitable and integrated child protection system. The project is being implemented by Fairtrade Africa and International Cocoa Initiatives in collaboration with Fairtrade Finland, Fairtrade Max Havelaar Netherlands and two producer organizations — the Asunafo Cocoa Farmers in Goaso and Asetenapa Cocoa Farmers’ Cooperative in Suhum, targeting a total of 12,700 children. Funded by the Ministry for Foreign Affairs of Finland and Tony’s Open Chain, the CIRCLE project is part of Fairtrade Finland's DONUTS programme.
KKCLRMS PROJECT
The Kuapa Kooko Child Labour Monitoring and Remediation System(KKCLMRS) Project focuses on building strong and functional community/district-based structures to embark on child and forced labour, child protection education and support with the remediation of identified cases. The project will also look at contributing to strengthening local and national child protection systems to protect children from violence, exploitation, abuse, and neglect.
OBJECTIVES
The purpose of this assignment is to engage a professional videographer/photographer to:
- Capture compelling visuals (photos and videos) that showcase both projects’ achievements and impact on beneficiaries.
- Document human-interest stories that illustrate changes in cooperative farmers’ and flower farm workers’ livelihoods, environmental sustainability, and organizational governance.
- Produce engaging communication materials (in the form of case studies and testimonials) for use in donor reports, social media, stakeholder forums, and other outreach platforms
SCOPE OF WORK
The consultant shall undertake the following tasks
Pre-production
- Meeting with project teams to align expectations, key messages, storylines and target audiences.
- Develop the video concept and short list for approval.
- Prepare production schedule and logistics plan.
Production
- Travel to selected project sites in Ghana (Goaso, Suhum and Ayensuano)
- Conduct on-site filming and photography, including interviews with project stakeholders and beneficiaries.
- Ensure ethical and respectful representation of all individuals, especially women, youth and children.
Post-production
- Produce 5 short videos (1 – 3 minutes each), highlighting different thematic areas (Harmonized Child Protection System (Social Welfare), Child Labour Monitoring Systems (Cooperative rep – Manager/President), Safe School & Community Environments (GES), and Building Children’s Resilience ) for the CIRCLE Project.
- Produce 5 short videos (1 – 3 minutes each), highlighting different thematic areas (Sankore, Goaso, Bibiani and Kasapin) for the KKCLMRS Projects
- Edit videos with subtitles, branding (logos, color schemes) and royalty-free background music.
- Produce 2 highlights reel and 2 documentary videos (8-10 minutes) telling the overall story for each project.
- Produce a library of 50 edited high-resolution photographs (with metadata and captions) for each project.
- Deliver raw footage and photographs for archive purposes for each project.
DELIVERABLES
The consultant shall submit the following deliverables:
- Shooting plan and storyline outline per project.
- 5 short thematic videos (1-3 minutes each) per project.
- 2 highlight reel and 2 documentary videos (8-10 minutes) for each project.
- 50 high-quality edited photographs with captions per project.
- All raw video and photo files.
- Consent forms from all filmed/ photographed subjects.
DURATION OF THE ASSIGNMENT
This assignment is expected to take place between 1st – 31st October , 2025.
Required Skills or Experience
QUALIFICATIONS AND DESIRED SKILL SETS
- Experience conducting similar assignments.
- Fluent in English and Twi.
- Knowledge of the latest photography and videography technology and equipment.
Desirable
- Experience working with Fairtrade and/or a deep understanding of the Fairtrade system.
- Experience conducting similar assignments.
- Fluency in written and spoken English and Twi.
How To Apply
PROPOSAL REQUIREMENTS
Required:
- Technical and financial proposals. The budget should include all related costs inclusive of applicable taxes as per the Ghanaian law.
- CVs alongside two samples of similar previous works (profiling your professional experience and suitability for the job) shared through Google Drive or WeTransfer. The team must be comprised of qualified experts, with a demonstrated track record in offering videography and photography services.
- A clear workplan with specific activities, deliverables and timeline for completing the assignment within the contract period.
- Company profile with website link (where applicable).
- Evidence of at least two professional videography and photography assignments successfully completed.
- At least 3 references from the organization with whom similar assignments have been undertaken to outline the consultant’s role, performance, and deliverables.
MANAGEMENT AND COORDINATION
The consultant/firm will report directly to both the DONUTS Senior Project Officers with the Contact Person being the Communications Coordinator – DONUTS PROGRAMME – Ghana (f.ampon@fairtradeafrica.net).
